Executive Assistant

This is a fully remote position, open to applicants in Massachusetts.

📋 Description

• Deliver top-tier administrative, communication, and project management assistance to senior leaders within the clinical and clinical trial/program division.

• Oversee intricate, dynamic calendars and proactively address conflicts.

• Remain updated on significant topics and priorities throughout the team.

• Organize logistics for conferences, investor gatherings, and industry events.

• Operate under the guidance of the Director of Executive Operations, Office of the CEO.

• Handle sensitive issues with confidentiality and discretion.

• Arrange complex domestic and international travel, including passport and visa research along with detailed itineraries.

• Balance competing priorities and deliver projects under tight deadlines.

• Coordinate meeting logistics, including conference room bookings, remote participant access, catering, and meeting materials.

• Regularly engage with high-profile professionals on behalf of the team.

• Address emails, texts, and phone calls outside of standard business hours.

• Monitor, prepare, and submit expenses, invoices, and purchase orders.

• Assist with personal requests and undertake other designated administrative tasks.


⛳️ Requirements

• A bachelor’s degree is preferred (not mandatory).

• At least 8–10 years of experience supporting senior executives, ideally in the R&D/Pharmaceutical/Biotech, Finance/Investment, or start-up sectors.

• Proven experience in a high-paced, high-pressure environment.

• Familiarity with Concur is advantageous.

• A proactive, positive, energetic, and enthusiastic demeanor with a can-do attitude.

• Flexible and resilient, eager to learn and open to constructive feedback.

• Team-oriented with a collaborative mindset.
