This is a fully remote position, open to applicants in United States.
β’ Offer administrative assistance to a leader.
β’ Organize and manage the calendar and daily agenda of multiple executives or a single senior executive.
β’ Evaluate incoming correspondence and communications, responding independently whenever feasible.
β’ Anticipate the needs of the executive and proactively address operational and administrative challenges.
β’ Oversee logistics for both internal and external meetings, including room reservations, catering, agendas, materials, and meeting minutes.
β’ Plan and arrange travel itineraries.
β’ Gather travel documents and ensure that expense reports and purchase orders are accurately completed and adhere to budgetary constraints.
β’ Research, compile, and distill complex or extensive data into clear work products.
β’ Prepare reports on the status of major projects, action items, and operational updates.
β’ Draft, revise, and distribute approved communications on behalf of the leader.
β’ Handle confidential and sensitive information with utmost professionalism, diplomacy, and discretion.
β’ Serve as a trusted advisor on various issues and trends.
β’ Utilize internal systems and corporate resources to enhance efficiency.
β’ Mentor, coach, and provide constructive feedback to fellow team members.
β’ Associate's degree or equivalent experience is required.
β’ Proven experience in directly supporting and collaborating with executives.
β’ Capability to thrive in a flexible, fast-paced environment while managing numerous responsibilities.
β’ Excellent oral and written communication skills.
β’ Strong organizational, multitasking, and time management abilities.
β’ Exceptional follow-through with the ability to perform under pressure of deadlines.
β’ Capacity to manage a high level of stress while maintaining quality and professionalism.
β’ Strong interpersonal skills and discretion in handling sensitive information.
β’ Self-motivated, proactive, and capable of working both independently and within a team.
β’ Up to 5% travel may be required.
β’ Proficiency in Microsoft Office and Microsoft Outlook or similar email and calendar software.
β’ Ability to create executive-level presentations, agendas, and reports.
β’ Experience in anticipating executive needs and proactively addressing operational and administrative issues.
β’ Background in drafting, editing, and distributing communications for senior leaders.
β’ Strong professional business writing and stakeholder communication abilities.
β’ Experience in researching and summarizing complex or large volumes of data.
β’ Strong critical thinking skills.
