This is a fully remote position, open to applicants in United States.
• Provide assistance to the CEO and the Executive Leadership Team.
• Serve as the initial point of contact for external stakeholders, including Board members and private equity personnel.
• Offer support to the Administrative Team and provide back-up coverage as necessary.
• Draft internal and external corporate documents utilizing Microsoft Office applications.
• Proactively organize and manage Officers' calendars, meetings, appointments, and travel arrangements.
• Prepare and reconcile expense reports efficiently.
• Monitor incoming email inquiries and keep leadership team members informed of critical updates.
• Utilize technology to assist Officers with routine tasks, such as taking meeting notes.
• Support the Executive Leadership Team with ad-hoc large-scale projects.
• Maintain a well-organized electronic filing system.
• Collaborate with external business partners, including board members, private equity support teams, and banking officials.
• Oversee projects and events from planning through completion, tracking and communicating deliverables, requirements, schedules, costs, and meeting arrangements.
• Ensure confidentiality and manage time-sensitive and personally identifiable information appropriately.
• Assist the Administrative Team with various tasks and provide scheduling back-up support.
• Contribute to Quality Management initiatives and Compliance Program activities, ensuring confidentiality and adherence to HIPAA guidelines.
• Participate in company meetings and training sessions.
• Perform additional duties and responsibilities as assigned.
• A minimum of three years of experience directly supporting one or more executive team members.
• At least one year of experience in a customer service, logistics, and/or clerical environment.
• Preference for experience within a healthcare or managed care organization.
• Ability to thrive in a fast-paced and high-functioning office environment.
• Capability to work independently with minimal oversight.
• Exceptional customer service and interpersonal skills, with the ability to prioritize requests and deadlines effectively.
• Strong attention to detail.
• Excellent organizational project management and problem-solving skills, complemented by outstanding multitasking capabilities.
• Proactive in addressing situations before they escalate into issues that could impact the office and/or employees.
• Strong clerical skills, including typing, filing, copying, and faxing.
• Advanced Microsoft Office proficiency, including a solid working knowledge of Excel formulas, excellent PowerPoint skills, and the ability to quickly learn company-specific software.
• Understanding and familiarity with the Company’s clients, products, departments, workflows, and relevant regulatory requirements and accreditation standards.
• Friendly and professional demeanor.
• High School diploma required.
• Background screening is required prior to commencing employment.
