This is a fully remote position, open to applicants in Pennsylvania.
• Assist in the planning, coordination, and implementation of both client-facing and internal firm events.
• Provide support for conferences, networking events, seminars, sponsorship activations, client entertainment, holiday parties, retreats, and activities aimed at employee engagement.
• Oversee event logistics including timelines, planning documents, project trackers, registration, RSVPs, communications with attendees, venue selection, catering arrangements, promotional products, and travel management.
• Manage sponsorship logistics, which encompass registrations, shipping of materials, promotional items, booth specifications, and setup and breakdown processes.
• Maintain calendars for events, deadlines, sponsorship commitments, documentation, vendor details, CRM records, and marketing databases.
• Develop invitations, registration communications, reminder emails, and follow-up messages post-event.
• Facilitate social media promotion, update websites, create marketing materials, and compile post-event reports along with follow-up recommendations.
• Oversee the firm's Uber account and assist in managing the Navan travel program.
• Gather event performance metrics, monitor expenses, process invoices, and ensure accurate record reconciliation.
• Travel to events as necessary to deliver on-site logistical and operational assistance.
• Handle multiple projects simultaneously, adhere to deadlines, enhance processes, and uphold event planning procedures and best practices.
• Collaborate with event teams, marketing, business development, attorneys, firm leadership, and external vendors.
• A Bachelor's degree in Marketing, Communications, Hospitality Management, Event Management, or a related field is preferred.
• 1–3 years of experience in event planning, business development, marketing, or a related role within a law firm or professional services setting.
• Willingness to travel as required, including occasional evenings and weekends.
• Proximity to a major airport hub is necessary, with a preference for locations on the East Coast.
• Familiarity with Monday.com, Nexl, Canva, or comparable MarTech platforms is preferred but not mandatory.
• Experience in supporting events, meetings, sponsorships, or project coordination activities is preferred.
• Background in a professional services environment is essential.
• Experience in the legal industry is preferred but not required.
• Strong organizational and project coordination abilities are necessary.
• Proficiency in the Microsoft Office Suite is required.
• Exceptional written and verbal communication skills are a must.
• Designation as fully remote.
• Travel to events as necessary, providing on-site event support.
