This is a fully remote position, open to applicants in United States.
• Oversee and manage the implementation of event registration websites, app development, and other technological components for assigned events.
• Diagnose and resolve technical issues as they arise.
• Handle client communications, including save-the-dates, invitations, registration confirmations, and other relevant updates.
• Maintain databases to ensure information consistency, data accuracy, and list generation.
• Engage with internal and external clients, addressing inquiries in accordance with established service level agreements.
• Collaborate with the Event Delivery team on program logistics, production, and execution.
• Analyze lists to deliver registration data, year-over-year statistics, and insights into event analytics.
• Organize name badges, tent cards, place cards, departure notices, email confirmations, agendas, and signage materials.
• Assist in the design and setup of registration desk flow, including on-site event support.
• Act as the primary contact for attendee management and technology vendors during the planning and execution phases.
• Create and send post-event surveys to clients.
• Adhere to standard operating procedures and compliance processes, while maintaining detailed event files and accurate records.
• Review and reconcile invoices from third-party vendors.
• Provide clients with opportunities for cost savings and added value whenever possible.
• Accurately track and maintain project timelines.
• Assist in training new team members and mentor existing staff.
• Stay updated on emerging technologies, popular culture, and trends, sharing insights with team members.
• Domestic and/or international travel may be required, up to 40%.
• A minimum of 5 years of experience in Attendee Data Management and Event Technology, including entry-level meeting planning and coordination related to registration and event technology.
• Advanced skills in Microsoft Office, particularly Excel.
• Familiarity with registration website platforms such as Cvent, Splash, Certain, Aventri, Eventbrite, and other similar platforms.
• Basic understanding of HTML and CSS is advantageous, though not mandatory.
• Proven ability to manage multiple projects concurrently.
• Excellent written and verbal communication skills across all levels.
• Self-motivated individual who can take initiative and work independently.
• Capacity for innovative thinking.
• Flexibility to work outside of standard business hours, including evenings and weekends.
• Willingness to travel as needed for on-site event attendance.
• Must be a resident of the US and able to work within Eastern Standard Time hours.
