This is a fully remote position, open to applicants in United States.
• Oversee and implement the company’s portfolio of events and contribute to incentive program experiences.
• Manage all aspects of event planning, execution, follow-up, and post-event reporting.
• Take ownership of the internal events calendar along with a segment of the Incentive Portfolio.
• Assist in establishing incentive program qualification criteria, handling communications, tracking participants, and conducting post-program analysis.
• Foster stakeholder relationships and manage product delivery expectations.
• Coordinate live event production, which includes AV, transportation, food and beverage, staffing, security, and logistics.
• Review AV quotes, labor estimates, equipment specifications, and comply with union guidelines.
• Create run-of-show documents and collaborate with Multimedia partners on presentations, videos, and graphics.
• Lead onsite AV setup, rehearsals, show calling, production crews, cues, troubleshooting, and ensure equipment readiness.
• Manage deadlines, budgets, vendor sourcing, contract negotiations, and coordination with talent/executives.
• Conduct site inspections and prepare notes, budgets, itineraries, and timelines.
• Develop communication materials for participants and stakeholders, including signage and name badges.
• Create scalable event and incentive playbooks, frameworks, and standardized processes.
• Lead, develop, and mentor a team of 2–3 individuals through coaching and guidance.
• Source destinations, hotels, venues, transportation, entertainment, and decor.
• Manage relationships with suppliers, venues, AV, catering, transportation, and staffing agencies.
• Oversee procurement, contracting, compliance, and vendor performance.
• Collaborate with Sales, Marketing, executive leadership, HR/People & Culture, and Internal Communications.
• Assist in agenda development, meeting content, run-of-show creation, and communication rollouts.
• Travel to events to oversee onsite setup, breakdown, logistics, and issue resolution.
• Develop, monitor, reconcile, and report on event budgets and program ROI.
• Establish KPIs, analyze post-event performance, and propose enhancements.
• Track incentive qualification progress and generate reports for Sales and Leadership.
• Conduct planning calls and present outcomes along with optimization opportunities to leadership.
• A minimum of 5 years of experience in managing internal corporate events and incentive programs.
• At least 2 years of experience in team management.
• Bachelor’s Degree in Event Management, Hospitality, Travel/Tourism, Marketing, or a related field is preferred.
• Demonstrated experience in managing internal corporate meetings, leadership events, employee engagement programs, and incentive travel.
• Strong skills in people management, project management, and time management.
• Capability to manage multiple large programs concurrently.
• Experience in budget management and financial reconciliation.
• Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint).
• Familiarity with Wrike is an advantage.
• Experience working collaboratively with HR, Communications, Sales, and executive leadership.
• Understanding of internal communication principles and change management support.
• Familiarity with event management software such as Cvent or Eventbrite.
• Experience with CRM systems like Salesforce.
• Knowledge of virtual platforms, mobile apps, and attendee engagement tools is a plus.
• Advanced proficiency in AV and technical production tools.
• Ability to interpret AV quotes and labor specifications, along with understanding union guidelines.
• Capable of creating and managing run-of-show documents and supervising show calling.
• Willingness to travel to event locations, conduct site visits, attend office visits, and occasionally work on weekends.
• Up to 30% travel is required.
