This is a fully remote position, open to applicants in Philippines.
• Prepare estate planning documents such as wills, trusts, powers of attorney, advance healthcare directives, and deeds.
• Tailor documents utilizing firm templates and client information under the guidance of attorneys.
• Work alongside attorneys to draft and amend documents as necessary.
• Engage with clients to provide updates on case status, document drafts, and subsequent steps.
• Address client inquiries via phone calls, emails, and portal messages.
• Arrange and confirm signing appointments as well as follow-up meetings.
• Prepare for and attend client signing meetings when requested.
• Open, organize, and sustain both physical and digital case files.
• Upload client documents into the case management software.
• Monitor case timelines and deadlines, notifying attorneys of necessary actions.
• Oversee estate planning matters through consultation, drafting, review, signing, and finalization.
• Maintain contact information, notes, tasks, and document uploads within the case management system.
• Conduct limited legal research under the direction of an attorney.
• Assist in assembling complex trust packages.
• Collaborate with intake, administrative, and legal assistant teams.
• Report on progress or challenges to team leaders or attorneys.
• Scan and organize signed documents effectively.
• Create post-signing estate planning binders.
• Record deeds with county offices and monitor recording confirmations.
• Collaborate with the internal team to ensure prompt service delivery and meet client expectations.
• Exceptional attention to detail and strong organizational skills.
• Excellent written and verbal communication skills.
• Professional, empathetic demeanor with a focus on client service.
• Proficient in Microsoft Word, Outlook, and Excel applications.
• Ability to prioritize and manage multiple tasks in a dynamic environment.
• Legal knowledge is considered a plus.
• A college education is preferred but not mandatory.
• Familiarity with estate planning is advantageous.
• Must be available to work a maximum of 40 hours per week, Monday through Friday, from 8:00 am to 5:00 pm Eastern time, including a one-hour lunch break.
