This is a fully remote position, open to applicants in Wisconsin.
• Oversee the calendar, priorities, inbox management, and correspondence for the Vice President, EH&S, acting as the primary contact for the office.
• Prepare the Vice President for meetings by organizing agendas, pre-read materials, meeting logistics, and follow-up actions.
• Plan and arrange intricate domestic and international travel, including visits to plants, branches, and job sites.
• Organize EH&S Leadership Team meetings, offsite events, operating reviews, Safety Week activities, recognition programs, and enterprise safety events.
• Develop and maintain the EH&S operating calendar for leadership meetings, performance reviews, executive updates, CHRO reports, and Board reporting inputs.
• Compile, format, quality-check, and distribute executive presentations, reports, and supporting documents.
• Monitor executive actions and commitments to ensure timely closure and escalation when necessary.
• Oversee incident, injury, and near-miss reporting and align safety data with regional EH&S leaders.
• Assist with OSHA and corresponding international recordkeeping, including OSHA 300, 300A, and 301 logs.
• Coordinate monthly safety performance packs containing leading and lagging indicators.
• Maintain the enterprise EH&S compliance calendar, which includes regulatory submissions, inspections, permit renewals, and audit schedules.
• Track audit findings, incident corrective actions, and investigation actions to closure.
• Organize enterprise EH&S training schedules, maintain records, and monitor completion tracking.
• Aid in EH&S onboarding, training programs, and competency requirements.
• Draft and circulate safety alerts, lessons-learned bulletins, and other EH&S communications.
• Manage the EH&S SharePoint site, including document control processes, policies, standards, procedures, and distribution lists.
• Monitor departmental budgets and expenditures; process purchase requisitions, invoices, and expense reports.
• Support contractor safety administration through platforms like ISNetworld and Avetta.
• Standardize recurring EH&S processes using templates, trackers, and operating procedures.
• Utilize Microsoft 365 and AI-enabled tools to minimize manual reporting and administrative tasks.
• Connect the Office of the Vice President with regional and plant EH&S leaders as well as cross-functional stakeholders.
• Manage incident investigations, legal matters, regulatory correspondence, and confidential personnel information discreetly.
• Foster relationships across EH&S, executive administration, HR, Legal, Supply Chain, and business functions.
• Achieve improvements in reporting timeliness, corrective-action closure, document control, training tracking, standardization, and automation over 12- and 24-month periods.
• Bachelor's degree in Occupational Health & Safety, Environmental Science, Business, a related field, or equivalent experience.
• A minimum of five (5) years of experience in EH&S coordination, EH&S administration, or executive support, including at least two (2) years supporting a senior leader at the Vice President level or above, or within an EH&S function.
• Proficient understanding of EH&S programs, incident management, and injury recordkeeping within manufacturing, construction, or field-service settings.
• Proven capability to manage a senior executive's calendar, travel, priorities, and materials with discretion and minimal guidance.
• Strong data management and analytical abilities, including advanced proficiency in Microsoft Excel and experience reconciling data from various sources.
• Excellent written and verbal communication skills, with a demonstrated ability to create executive-ready reports, presentations, and communications.
• Experience coordinating multiple priorities and stakeholders in a fast-paced, matrixed environment.
• Strong organizational, project coordination, and follow-through skills with meticulous attention to detail.
• Ability to handle sensitive information with integrity, sound judgment, and confidentiality.
• OSHA 30-Hour General Industry or Construction certification is strongly preferred.
• Associate Safety Professional (ASP) certification or evident progress towards certification is strongly preferred.
• Experience supporting a global, multi-site organization across various regions and time zones is strongly preferred.
• Familiarity with enterprise EH&S management systems such as Enablon, Cority, Intelex, or VelocityEHS is strongly preferred.
• Experience assisting environmental, health, and safety leadership teams and enterprise-level safety initiatives is strongly preferred.
• Knowledge of OSHA recordkeeping and reporting requirements, along with awareness of international equivalents.
• Understanding of EH&S management systems and standards, including ISO 45001 and ISO 14001.
• Familiarity with safety performance measurements such as TRIR, LTIR, DART, SIF, SIF precursors, and leading indicators.
• Knowledge of incident investigation processes and corrective action management.
• Proficiency in Microsoft 365 applications, including Outlook, Teams, Excel, PowerPoint, SharePoint, and Power BI.
• Practical application of AI tools to enhance reporting, coordination, and administrative efficiency.
• Willingness to travel domestically up to 10%.
