Document Solutions Team Lead

This is a fully remote position, open to applicants in Wisconsin.

📋 Description

• Administer product or project documentation in accordance with client specifications.

• Supervise the creation and upkeep of project documentation systems.

• Organize, manage, and maintain project document filing structures.

• Lead and oversee a team of Documentation Specialists.

• Conduct meetings and facilitate the flow of information among project stakeholders.

• Coordinate document movement between preconstruction, engineering, quality assurance, commissioning, field construction, and other departments.

• Uphold document control standards, including maintaining version control.

• Assist with process documentation alongside subject matter experts in processes and on-site activities.

• Execute clerical typing tasks to create and revise documents.

• Ensure timely distribution of the most current revision of documentation.

• Update and manage project document control programs and software.

• Coordinate the creation and dissemination of project checklists, reports, and databases.

• Create and revise project reports, checklists, and additional documents using company software.

• Ensure prompt completion of project documentation uploads.

• Support document maintenance and assist in project closeout activities.

• Review documents for grammatical accuracy and formatting consistency.

• Verify equipment and asset naming in accordance with current construction drawings.

• Participate in process improvement initiatives.

• Carry out other related responsibilities as assigned.


⛳️ Requirements

• A high school diploma, GED, or Associate degree is preferred.

• 3-5 years of administrative experience is required.

• 5 years of administrative experience or 3 years of field experience in construction trades is preferred.

• Proficient in reading and understanding project specifications, submittals, and construction drawings.

• Travel requirement: 0-25%.

• Availability to work between 7 AM and 5 PM, Monday through Friday; overtime may be necessary.

• Flexibility to work at any time on any day to meet business requirements.

• Successful completion of a background check and drug test is mandatory.
