This is a fully remote position, open to applicants in United States.
• Assist in the planning, coordination, and execution of conference, tradeshow, and exhibit hall operations.
• Aid in the daily operational tasks for conferences, meetings, and exhibit hall management.
• Maintain operational timelines, trackers, project documentation, electronic files, and necessary records.
• Organize meetings, vendor calls, and operational check-ins.
• Support exhibitor communications, handle customer service inquiries, manage forms, COIs, and required documentation.
• Monitor exhibitor booth approvals and facilitate vendor communications.
• Assist with updates to the exhibit hall floorplan, preparations for move-in and move-out, dock access, exhibitor services, signage, materials, staffing, and scheduling.
• Conduct A2Z updates and data entry, update dashboards, generate reports, maintain databases, and track operations.
• Provide on-site assistance during move-in, show days, and move-out.
• Help exhibitors and attendees, support floor managers, troubleshoot basic issues, and escalate concerns as necessary.
• Coordinate signage, operational materials, exhibitor information, inventory, and supplies.
• Assist with the onboarding preparation for temporary staff and contractors.
• Participate in planning meetings and site visits while supporting event logistics planning.
• Aid in post-show reporting, operational recaps, feedback collection, and documentation following events.
• An Associate's degree in Business, Hospitality, Event Management, Communications, or a related field is required; a Bachelor's degree is preferred.
• 0–2 years of experience in event planning, convention services, trade show operations, project coordination, administrative support, or a related area.
• An equivalent combination of education and experience may be considered.
• Strong organizational and administrative capabilities.
• Exceptional written and verbal communication skills.
• Ability to handle multiple tasks and meet deadlines.
• Keen attention to detail.
• Capacity to work collaboratively in a fast-paced setting.
• Professional demeanor and customer service abilities.
• Willingness to take direction, learn swiftly, and adapt to shifting priorities.
• Proficiency in Microsoft Office Suite is required.
• Experience with A2Z or event management systems is preferred but not mandatory.
• Flexibility to work varied hours, including on-site event support, as required.
