This is a fully remote position, open to applicants in United Kingdom.
• Transform approved proposals into contracts utilizing company templates, facilitate their review and signature, and keep the contract register updated.
• Create and monitor consultant working agreements as well as confidentiality agreements.
• Facilitate the onboarding process for new consultants, which includes conducting background checks and verifying their right to work.
• Act as the primary contact for the consultant network regarding their availability, scheduling, briefings, kick-off, and close-out processes.
• Coordinate travel arrangements, visas, accommodations, and logistics for both consultants and the CEO.
• Manage the general enquiries inbox and phone line, direct new inquiries to the client team, and provide support for ongoing engagements.
• Execute the monthly processes for timesheets, expenses, consultant invoices, client invoicing, and accounts receivable.
• Maintain business systems and develop and update the operations manual.
• Assist the CEO with diary management and meeting preparations.
• Oversee operational processes once work is secured; this role does not involve selling, pricing, negotiating with clients, or signing contracts.
• A minimum of three years’ experience in operations, contracts, project coordination, or a senior administrative role within a professional services, consultancy, recruitment, or life sciences context.
• Proven experience in preparing and managing contracts from templates and maintaining a contract register.
• Background in coordinating external contractors or consultants, including their onboarding and scheduling.
• Comfortable with numerical tasks such as timesheets, expenses, invoicing, and reconciliations; familiarity with accounting or project management systems is essential.
• Highly organized, detail-oriented, and capable of working independently; adept at running and enhancing processes without supervision.
• Discreet in handling confidential client and commercial information.
• Exceptional written and verbal communication skills in English, along with a professional demeanor in telephone and email correspondence.
• Experience in a GMP-regulated environment or life sciences consultancy is preferred.
• Background in arranging international travel and visas.
• Knowledge of CRM systems, applicant tracking, e-signature, cloud accounting systems, Microsoft 365, and SharePoint.
• Experience in documenting processes and drafting standard operating procedures.
• Salary ranging from £35,000 to £40,000, based on experience.
• A fixed-term contract for 12 months, with the potential for a permanent position after the 12-month review.
