Clinical Operations Specialist

This is a fully remote position, open to applicants in United States.

📋 Description

• Design, maintain, and enhance a comprehensive 50-state regulatory monitoring system for HCOE healthcare initiatives.

• Participate in regulatory agency hearings, public comment forums, or stakeholder meetings, and create briefings and summaries.

• Keep regulatory change logs and issue trackers updated with information on status, ownership, deadlines, and risk levels.

• Monitor state-specific application prerequisites, processing timelines, and approval statuses for program expansions.

• Develop, construct, and sustain interactive dashboards and reports that reflect regulatory status, state approvals, clinical placements, and accreditation timelines.

• Create and manage program-specific State Approval Trackers.

• Generate both standardized and ad hoc reports for academic, legal, risk, strategy, and executive stakeholders.

• Establish and manage a clinical placement data repository.

• Develop reporting pipelines that integrate Smartsheet, SharePoint, OneDrive, and external agency websites.

• Ensure that dashboards and trackers include version control, source citations, and timestamps for updates.

• Assist in mapping accreditation standards, cycle timelines, self-study deadlines, site visit windows, and annual report deadlines.

• Organize evidence and datasets for accreditation reports, site visits, and interim monitoring submissions.

• Maintain documentation that differentiates between program-level and institutional-level regulatory approval statuses.

• Create templated reports for stakeholders and presentation-ready data outputs.

• Act as a consultant for the university and collaborate with university and system leaders.

⛳️ Requirements

• A Bachelor’s degree is required in health sciences, public health, healthcare administration, information science, data analytics, or a closely related discipline.

• A Master’s degree is preferred.

• A minimum of 3–5 years of professional experience in regulatory, compliance, accreditation, academic operations, or healthcare data analysis roles.

• Strongly preferred experience in building and maintaining dashboards, trackers, or reporting tools such as Excel, Smartsheet, Power BI, Tableau, or equivalent.

• Experience in higher education, healthcare regulation, or a multi-site/multi-state compliance environment is strongly preferred.

• Familiarity with nursing education and allied health regulatory frameworks, including state board of nursing and programmatic accreditation approval processes, is preferred.

• Experience collaborating with cross-functional teams in a high matrix reporting structure.

• Strong skills in prioritization.

• A high degree of self-direction and comfort in a matrixed, remote-first work environment.

• Exceptional attention to detail and precision in regulatory tracking and compliance documentation.

• Excellent communication abilities, capable of conveying complex issues clearly and succinctly.

• Demonstrated business acumen and awareness of enterprise operations.

• Ability to travel up to 10% of the time.

• Capability to lift 25 lbs.

• Willingness to work more than 40 hours per week as business needs require.

• Regular and dependable attendance and punctuality are crucial.
