This is a fully remote position, open to applicants in Australia.
• Manage incoming phone calls by answering, screening, and transferring them as needed
• Address client inquiries and fulfill administrative requests
• Provide assistance to clients and internal team members
• Handle client correspondence and follow up on requests
• Oversee and monitor the ASIC Bot, investigating and resolving any exceptions
• Process changes related to the company and complete ASIC lodgements
• Assist in the establishment of companies, trusts, and superannuation funds
• Prepare and submit applications for ABN, TFN, GST, and PAYG registrations
• Execute general ASIC-related tasks and corporate secretarial duties
• Maintain precise corporate records, documentation, and lodgements
• Daily manage and monitor the Post Bot
• Process and circulate correspondence, addressing related queries
• Monitor and manage shared inboxes effectively
• Dispatch documents to clients for review and signature, following up as necessary
• Coordinate and assist with the lodgement of tax returns and related documentation
• Keep records and follow up on outstanding matters until resolution
• Provide administrative support to the Business Services Manager, directors, employees, and the wider team
• Assist with various operational and administrative tasks
• Identify and resolve client service challenges
• Contribute to enhancements in systems, processes, procedures, and workflows
• Respond to internal inquiries for business information
• Support team members during peak workloads and undertake additional duties as assigned
• Previous experience in client services, administration, corporate secretarial support, accounting, taxation, legal, or professional services
• Experience with ASIC-related processes and corporate secretarial matters is highly desirable
• Familiarity with Australian business registrations, including ABN, TFN, GST, and PAYG
• Strong administrative and organizational abilities, with exceptional attention to detail
• Excellent written and verbal communication skills
• Capability to manage multiple tasks, competing priorities, and deadlines efficiently
• Strong computer skills and confidence in using online systems, workflow platforms, shared inboxes, and automated processes
• Ability to work independently while effectively collaborating within a team
• Strong problem-solving abilities and a proactive approach to resolving issues
• High level of professionalism and dedication to maintaining client confidentiality
• Quick learner of new systems, processes, and technologies
• Strong customer service focus with an emphasis on accuracy, responsiveness, and providing a positive client experience
