Client Service Administrator

This is a fully remote position, open to applicants in Arizona, +4 more states.

📋 Description

• Deliver administrative and client service assistance to a fee-based financial planning firm.

• Aid financial professionals and management by organizing daily office operations.

• Prepare and arrange documents, reports, presentations, and other materials for client meetings and internal discussions.

• Keep precise client records, files, contact details, and account-related documentation in line with firm protocols.

• Assist with processing new business, account documentation, follow-up tasks, and coordination with internal or external service partners.

• Facilitate client communications, which includes drafting correspondence, addressing routine inquiries, and escalating more complex issues as necessary.

• Manage calendars, schedule meetings, track follow-up actions, and ensure timely completion of administrative responsibilities.

• Provide administrative support to leadership and the advisory team, encompassing document management, workflow coordination, and general office assistance.

• Uphold confidentiality and manage client and business information with professionalism and discretion.


⛳️ Requirements

• High school diploma or equivalent is required.

• Prior experience in administrative roles, client service, or office support is mandatory.

• Experience in financial services, wealth management, or a professional services setting is preferred.

• Strong organizational abilities with the capacity to manage multiple priorities, meet deadlines, and ensure attention to detail.

• Excellent written and verbal communication skills, demonstrating a professional and client-oriented approach.

• Proficiency in Microsoft Office suite applications, including Outlook, Word, Excel, and PowerPoint.

• Capability to learn internet-based and firm-specific systems.

• Ability to work independently in a remote setting while effectively collaborating with team members.

• High attention to detail and sound judgment are essential.

• Ability to maintain confidentiality while handling sensitive client or business information.

• Bachelor’s degree in business, finance, communications, or a related discipline is preferred.

• Practical experience in a professional office or financial services environment may be considered in lieu of a degree.
