This is a fully remote position, open to applicants in Philippines.
• Handle incoming calls from potential clients inquiring about mental health services.
• Offer compassionate, professional, and empathetic support during initial client engagements.
• Connect clients with suitable therapists based on their availability, specialties, and individual needs.
• Arrange initial therapy appointments and manage therapist schedules.
• Oversee appointment availability, rescheduling requests, and intake scheduling processes.
• Facilitate communication between clients and providers.
• Address basic inquiries regarding insurance coverage and therapy services.
• Verify insurance eligibility and benefits as required.
• Work with billing to address any insurance or payment-related questions.
• Input and maintain client records in practice management software.
• Ensure that all information is accurate, organized, confidential, and compliant with privacy regulations.
• Provide administrative support for daily clinic operations.
• Assist with organizing workflows, documentation, and communication tasks.
• Perform appointment-setting duties, qualify potential clients, and arrange consultations.
• Utilize consultative sales techniques to establish rapport, address concerns, and motivate prospective clients to pursue mental health services.
• Follow up with leads, missed inquiries, and referral sources to enhance appointment conversions.
• Aid in client retention through proactive communication, appointment reminders, and follow-up outreach.
• A minimum of 1 year of prior experience in client intake, appointment scheduling, lead generation, insurance verification, and client communication within a behavioral health context is highly preferred.
• Bilingual candidates in Spanish are strongly preferred.
• Experience with SimplePractice EHR, Grasshopper VoIP, Go High Level (GHL) CRM, TherapyFlow, or similar tools is highly preferred.
• Capability to manage confidential and sensitive information with professionalism.
• Excellent verbal and written communication skills are essential.
• Ability to independently learn and adapt to new software and systems.
• High attention to detail and commitment to follow-through is necessary.
• Must possess clear and professional English speaking and writing skills.
• Relevant work experience is required.
• Must provide an NBI Clearance and/or Local Police Clearance prior to onboarding.
• Availability to participate in video meetings with the camera on when required.
• A reliable laptop or desktop computer is necessary.
• A stable high-speed internet connection with a minimum of 25 Mbps is required.
• A noise-canceling headset is needed.
• A working webcam is necessary for virtual meetings.
• A quiet and professional work environment is essential.
