This is a fully remote position, open to applicants in Philippines, +5 more countries.
β’ Establish a positive first impression for potential clients through timely, professional, and friendly communication via phone and email.
β’ Quickly address inbound calls, missed calls, messages, and inquiries from new leads.
β’ Schedule consultations for qualified prospective clients with the Managing Attorney and ensure an accurate and well-organized calendar.
β’ Take ownership of follow-ups on outstanding inquiries and communications.
β’ Maintain accurate and up-to-date appointment, lead, and client information across the firm's systems.
β’ Facilitate communication between prospective clients, the Managing Attorney, and members of the legal team when assistance or escalation is necessary.
β’ Identify questions that require legal expertise and route them appropriately without dispensing legal advice.
β’ Handle multiple communication channels and competing priorities while ensuring a calm, professional experience for clients.
β’ Proactively recognize unanswered messages, scheduling challenges, and pending follow-ups.
β’ Provide support for general administrative tasks during periods of lower call and lead volume.
β’ A minimum of 2 years of experience in customer service, client intake, reception, appointment setting, administrative support, or a similar client-facing role.
β’ Exceptional spoken and written English with a confident and professional phone demeanor.
β’ Practical experience in answering inbound calls and promptly returning missed calls, messages, or inquiries.
β’ Proven experience in scheduling appointments and maintaining professional calendars with keen attention to detail.
β’ Strong follow-up skills and the ability to manage multiple active inquiries without losing track of next steps.
β’ Capability to work independently, remain highly responsive, and consistently dependable during an agreed-upon remote working schedule.
β’ Access to a reliable computer, high-speed internet connection, and a professional remote workspace.
β’ Previous experience with a U.S. law firm, immigration practice, or professional services organization.
β’ Familiarity with CRM systems, appointment scheduling, calendar management, and office productivity software.
β’ Exposure to client intake processes related to legal or immigration matters.
β’ Experience in supporting a high-volume inbound lead or appointment-setting environment.
