This is a fully remote position, open to applicants in Colombia.
• Coordination and Compliance of Client Documents: Gather and monitor essential supporting documents from clients, ensuring timely submissions while maintaining precise document checklists.
• Assess submitted materials for administrative completeness, legibility, signatures, dates, and proper labeling.
• Detect and address issues such as missing, duplicate, expired, incomplete, or incorrectly submitted documents, proactively following up with clients as necessary.
• Provide guidance and support to long-distance clients on effectively submitting their required documentation.
• Document all interactions by recording client communications, document receipts, and follow-up attempts within the same business day.
• Case Compilation & Digital Organization: Collect and consolidate all completed forms, legal documents, and supporting materials necessary for each case.
• Organize case files into a single, well-structured, and searchable PDF according to the precise order specified in the case cover letter.
• Enhance digital files by managing page orientation, eliminating duplicate or blank pages, and structuring exhibit organization when necessary.
• Review and enhance the "Documents" section of the cover letter to provide comprehensive, detailed descriptions of each piece of evidence included.
• Uphold data standards by organizing and saving files in CampLegal, Asana, and Google Drive using the firm's established naming conventions and folder structures.
• Conduct final quality control by completing a thorough assembly checklist before passing the case to the next review stage.
• Team Collaboration & Operational Support: Collaborate closely with attorneys and paralegals to ensure 100% of required documentation is prepared before submission deadlines.
• Assist with specialized document requests, including police records, background checks, and certified translations.
• Maintain detailed database records of all document submissions, dynamically tracking case status to ensure efficient workflow.
• Bilingual: Proficiency in both English and Spanish is essential.
• Experience: Prior experience in an office, legal, administrative, or customer-facing role is required.
• Immigration Knowledge: Familiarity with immigration forms and procedures is highly advantageous.
• Technical Proficiency: Competent in scanning, optimizing, labeling, and organizing high-volume electronic files (PDF management).
• Execution & Detail: Outstanding organizational abilities, meticulous attention to detail, and the capacity to manage multiple cases concurrently under deadlines.
