Client Coordinator

This is a fully remote position, open to applicants in Massachusetts.

📋 Description

• Coordinate and assemble medical claims, records, referrals, and necessary documentation for evaluation and processing.

• Gather and organize claim-related materials from various sources.

• Ensure that all required documents are complete, accurate, and compiled into detailed case files for external vendors and reviewers.

• Address inquiries from clients and representatives regarding questions, report statuses, concerns, and information requests.

• Input and retrieve client or claimant information using various systems and databases.

• Maintain regular communication with the QA department about workflow and pending report statuses.

• Reach out to providers for assignment and update the database accordingly.

• Manage the filing and archiving of both open and closed cases.

• Verify that client information is up-to-date and document client-specific guidelines, rules, and information in the system.

• Collaborate with team members and work independently to address queries, document tasks, and return cases promptly.

• Direct calls to other departments as necessary.

• Carry out clerical tasks including typing, filing, emailing, and proofreading.

• Assist in resolving customer complaints and quality assurance matters.

• Alert management to any report issues or concerns.

• Ensure that practices adhere to state and federal safety and legal regulations.

• Perform additional duties as assigned.


⛳️ Requirements

• High school diploma or equivalent is required.

• At least one year of clerical experience, or an equivalent combination of education and experience is preferred.

• Experience in a medical office or insurance industry is preferred.

• Comprehensive knowledge of general computer operations, fax machines, copiers, scanners, and telephones.

• Proficiency in Microsoft Word, Outlook, Excel, and Internet usage.

• Ability to be trained on and comply with HIPAA regulations and compliance standards.

• Qualified typist with a minimum typing speed of 40 W.P.M.

• Capability to follow instructions and accurately respond to management's directions.

• Attention to detail, thoroughness, responsibility for the quality of work, and initiative to identify areas for improvement.

• Outstanding communication skills.

• Ability to work independently, prioritize tasks, and manage time effectively.

• Ability to maintain confidentiality.

• Capacity to demonstrate and foster a positive team-oriented environment.

• Ability to concentrate and remain focused amidst normal or high distractions.

• Ability to perform well under pressure and in stressful conditions.

• Ability to appropriately handle changes, delays, or unexpected events.
