This is a fully remote position, open to applicants in Massachusetts.
• Coordinate and prepare medical claims, records, referrals, and necessary documentation for assessment and processing.
• Collect and organize claim-related materials from various sources.
• Ensure that all required documents are complete, accurate, and compiled into detailed case files.
• Respond promptly to inquiries from clients and client representatives regarding questions, report status, concerns, and information requests.
• Enter and retrieve client or claimant information using the appropriate systems and databases.
• Maintain daily communication with the QA department concerning workflow and the status of pending reports.
• Contact providers for assignment and update the database accordingly.
• File and archive both open and closed cases systematically.
• Verify that client information is up to date and document client-specific guidelines, rules, and information in the system.
• Collaborate independently and with team members to address inquiries, document information, and return cases promptly.
• Direct calls to other departments when necessary.
• Perform clerical duties, including typing, filing, emailing, and proofreading.
• Assist with customer complaints and quality assurance matters.
• Inform management of any report issues or concerns.
• Ensure that practices comply with state and federal safety and legal regulations.
• Carry out other assigned responsibilities.
• High school diploma or equivalent is required.
• A minimum of one year of clerical experience; or an equivalent combination of education and experience is preferred.
• Experience in a medical office or insurance industry is preferred.
• Proficient in the use of general computer systems, fax machines, copiers, scanners, and telephones.
• Familiarity with Microsoft Word, Outlook, Excel, and the Internet.
• Ability to be trained on and comply with HIPAA regulations and standards.
• Capable typist with a minimum speed of 40 W.P.M.
• Ability to accurately follow instructions and management directives.
• Attention to detail, thoroughness, accountability for work quality, and the initiative to identify improvements.
• Strong communication skills.
• Ability to work independently, prioritize tasks, and manage time effectively.
