This is a fully remote position, open to applicants in California.
• Oversee the operational rhythm for Cloud Operations and SRE, which includes staff meetings, business reviews, planning cycles, and offsite events.
• Propel cross-functional programs and initiatives to fruition for the VP by monitoring plans, dependencies, risks, and current status.
• Proactively escalate issues when initiatives deviate from the plan.
• Create and sustain leadership reporting that encompasses KPI and SLO roll-ups, dashboards, weekly status updates, and business review presentations.
• Ensure the reliability of the underlying reporting data.
• Manage the organization’s goal-setting and OKR cycle, which entails drafting, monitoring, and reporting on commitments.
• Oversee invoice management, vendor tracking, approval processes, payment follow-ups, and record maintenance.
• Track headcount and monitor open requisitions.
• Organize hiring loops and schedule candidates.
• Facilitate the onboarding process for new team members.
• Keep team records, distribution lists, organizational documents, and shared files up to date.
• Direct internal team communications, content for all-hands meetings, and team offsite events.
• Recognize operational needs and adjust processes in response to shifting priorities.
• Manage the VP’s intricate calendar, appointments, domestic and international travel, and speaking engagements.
• Prepare for meetings by collecting documents, creating agendas, taking minutes, and coordinating logistics.
• Act as a liaison between teams and external entities; screen calls and visitors; respond to and direct inquiries.
• Compose, review, and dispatch communications on behalf of the team.
• Manage departmental credit cards, funds, and receipt documentation.
• Provide assistance to other departments, administrators, or executives as necessary.
• A minimum of 5 years in business operations, program management, chief-of-staff, or senior executive support roles.
• Direct experience in supporting a senior executive.
• Experience thriving in a fast-paced, high-ambiguity environment like a startup, scale-up, or startup-like team.
• Regular use of AI assistants and agentic tools.
• Ability to articulate a workflow automated with AI, including troubleshooting broken elements and solutions implemented.
• Practical experience with personal AI agents and assistants for calendar management, inbox handling, and scheduling.
• Daily engagement with general-purpose assistants such as Claude, ChatGPT, or Gemini.
• Capability to connect systems using agentic tools.
• Comfort with documentation and a high level of judgment and taste.
• Ability to facilitate operating cadences and programs, including agendas, pre-reads, decision logs, and transparent status updates.
• Skill in holding senior personnel accountable for their commitments.
• Proficiency in building reporting roll-ups, identifying unreliable metrics, and clarifying trends to leadership.
• Sound judgment under conditions of incomplete information and fluctuating outcomes.
• Strong discretion regarding board materials, compensation, organizational changes, and unannounced strategies.
• Preferred: experience with low-code tools; technical organizational planning or OKR cycle involvement; expanded responsibilities for projects, budgets, vendors, or offsites; experience within an AI-adoption organization; familiarity with data infrastructure, energy sectors, or high-growth technical firms.
