Business Operations Analyst

This is a fully remote position, open to applicants in Brazil.

📋 Description

• Oversee the daily operations of the Polen platform.

• Manage the information flow between the CRM and the Polen platform.

• Configure and modify supplier approval and negotiation workflows in HubSpot.

• Suggest and execute data and system enhancements in partnership with the Technology team.

• Produce data and system insights for the Operations team.

• Analyze and refine the processes and routines of the Operations team.

• Provide tactical support to the Operations team on a daily basis.

• Assist with compliance initiatives, including supplier approvals and document audits.

• Serve as a communication link with the Technology team to facilitate automations and integrations.

• Aid in the training and onboarding of new Operations team members.

• Keep the team informed about new technologies and processes relevant to platform or CRM workflows.

⛳️ Requirements

• Proficient in applied SQL: capable of crafting queries—not merely interpreting existing data—to propose and implement solutions with the Technology team.

• Data management expertise: ensure a well-organized, structured, and consistent database across the CRM, Polen platform, and tracking spreadsheets.

• Advanced skills in Excel or spreadsheets: adept at combining large datasets, using pivot tables, and applying VLOOKUP/INDEX functions.

• Experience in configuring or modifying processes in a CRM like HubSpot or similar platforms, including workflows and automations.

• Ability to convert operational requirements into technical specifications and vice versa, maintaining clear communication with the Technology team regarding integrations and automations.

• Background in process improvement: capable of identifying inefficiencies, suggesting and implementing changes, and working autonomously.

• Strong organizational abilities to handle multiple domains, including operations, data intelligence, and process management.

• Excellent communication skills to address technical process inquiries and act as the team's subject-matter expert within Operations.

• Preferred: prior experience with BigQuery or another cloud data warehouse.

• Preferred: familiarity with AI tools for data tasks, such as Claude Code, to enhance querying, prototyping, or automation.

• Preferred: previous experience in Business Operations or Revenue Operations; experience in recycling, reverse logistics, or the environmental credit market; or experience supporting compliance or audit teams.
