Billing Specialist

This is a fully remote position, open to applicants in Arizona, +1 more state.

📋 Description

• Review initial invoices for labor, expense charges, billing rates, and fee limits with Principals in Charge and project managers, ensuring consistency with the work completed and contractual agreements.

• Allocate invoices to the appropriate project, phase, or task, and categorize consultants and vendors in accordance with contract requirements.

• Generate client invoices on time utilizing project management or accounting software such as Deltek Vantagepoint.

• Monitor payments and reconcile them with the correct projects.

• Process and settle vendor invoices, consultant fees, and reimbursable expenses as per project contracts and payment timelines.

• Ensure that contract documents within project folders are comprehensive and current.

• Compile monthly billing, receivables, and aging reports to track cash flow and identify overdue accounts.

• Coordinate with accounting, project management, and client service teams to address billing discrepancies and guarantee timely payments.

• Monitor unbilled work in progress, apply approved rates and markups, and assist in accounts receivable follow-up.

• Carry out additional duties as assigned.

⛳️ Requirements

• An Associate's or Bachelor's degree in Accounting, Finance, or a related discipline is preferred, or a comparable combination of education and experience.

• 1 to 3 years of experience in billing, accounts receivable, or project accounting.

• Experience in the architecture, engineering, or construction sectors is highly preferred.

• Familiarity with project-based accounting software; Deltek Vantagepoint is preferred.

• Knowledge of AIA billing formats (G702/G703) is advantageous.

• Proficient in Microsoft Excel.

• Ability to manage multiple concurrent project billing cycles and deadlines efficiently.

• Highly detail-oriented.

• Capable of clearly communicating billing status and fee-tracking updates to project managers.
