This is a fully remote position, open to applicants in Canada.
• Execute general administrative duties, which include managing mail, typing, and organizing filing systems.
• Develop and maintain precise, current patient records within the CRM.
• Carry out administrative functions that facilitate patients’ advancement through the program.
• Collaborate with team members and healthcare professionals concerning prescription renewals.
• Manage incoming and outgoing faxes, calls, and other communications.
• Label and attach documents to the CRM and program drives.
• Review and report any adverse events.
• Process copayment requests for patients, pharmacies, and physicians when applicable.
• Audit and uphold business-location reports, rectify discrepancies, and inform relevant personnel.
• Engage in both scheduled and unscheduled departmental projects and training sessions.
• Greet patients during appointments and assist with the iMD education program on clinic iPads.
• Verify patients’ next appointment dates.
• Order and receive office supplies and equipment for designated clinics.
• Coordinate the delivery and installation of equipment for new clinics.
• Follow up with programs and pharmacies regarding any missing medications or documents.
• Address IT issues in assigned clinics in partnership with the IT team.
• Prepare charts and medications for appointments scheduled for the next day.
• Transport medications, blood samples, and supplies to other clinics as required.
• Participate in medication inventories, audits, temperature-variation reports, and courier-return procedures.
• Contribute to quality activities to ensure the Innomar clinic maintains ISO certification.
• Carry out other assigned responsibilities.
• High school diploma; post-secondary education is preferred.
• Technical or vocational training, or an equivalent combination of education and experience.
• 3–5 years of experience in a comparable administrative position.
• Familiarity with Salesforce or another CRM system is an advantage.
• Post-secondary education in medical office administration or a related qualification is preferred.
• A minimum of two years of experience in the healthcare sector.
• Effective communication skills, both verbally and in writing, in English; proficiency in French is a plus.
• Comprehensive knowledge of the Microsoft Office Suite is essential.
• Strong critical-thinking and analytical capabilities.
• Excellent organizational skills and meticulous attention to detail.
• Outstanding problem-solving abilities.
• Capacity to implement processes that ensure satisfactory audit practices.
• Ability to work autonomously as well as collaboratively in a team setting.
• Understanding of the pharmaceutical distribution industry is advantageous.
• Strong business and financial insight.
• Proficient analytical and mathematical skills.
• Exceptional customer service capabilities.
• Proficiency in Microsoft Word, Excel, PowerPoint, and other Office applications.
• May be required to be on standby or on call as part of this position.
