This is a fully remote position, open to applicants in Philippines.
• Respond to incoming patient calls and reduce missed call rates.
• Initiate outbound calls for patient follow-ups and referrals.
• Assist with patient intake processes and address patient inquiries.
• Receive and track hospital referrals effectively.
• Maintain a professional and courteous demeanor on the phone.
• Monitor incoming faxes via the Ooma VoIP system and follow up on referrals.
• Confirm patient insurance coverage and eligibility.
• Aid in insurance-related workflows for patients.
• Manage and follow up on prior authorization requests.
• Facilitate co-pay collections and manage account balances.
• Schedule appointments for new and existing patients.
• Coordinate scheduling for new patient referrals.
• Reschedule appointments for cancellations and no-shows.
• Assist in filling open appointment slots due to cancellations.
• Support both practice locations with effective scheduling management.
• Process patient letter requests as needed.
• Provide general administrative assistance as required.
• Participate in daily team huddles.
• Utilize Tebra (Kareo) for electronic health record workflows.
• Employ Ooma for phone and fax operations.
• Use Zoom and/or Google Meet for virtual communications.
• Potentially engage in outreach to other clinics regarding behavioral health services in the future; not a current focus.
• Prior experience in healthcare, ideally in a patient-facing administrative or virtual assistant capacity.
• Familiarity with insurance verification processes and prior authorizations.
• Excellent professional phone communication abilities.
• Comfortable managing both inbound and outbound patient calls.
• Capable of communicating professionally with patients and other healthcare facilities.
• Strong attendance and reliability; must consistently participate in daily huddles.
• Honest, trustworthy, and dependable.
• Diligent, proactive, and able to think critically in various situations.
• Proficient in speaking and writing English clearly and professionally.
• Relevant work experience is mandatory.
• Must provide an NBI Clearance and/or Local Police Clearance prior to onboarding (mandatory).
• Availability to attend video meetings with the camera on when necessary.
• A reliable laptop or desktop computer is required.
• A stable high-speed internet connection (minimum 25 Mbps) is necessary.
• A noise-canceling headset is essential.
• A working webcam for virtual meetings is required.
• A quiet and professional workspace is necessary.
• Experience in behavioral health or mental health is highly preferred.
• Familiarity with Tebra/Kareo is preferred.
• Experience in managing patient scheduling, referrals, cancellations, and no-shows is preferred.
• Previous use of Ooma or another VoIP phone system is preferred.
• Experience with co-pay collection or patient account balance follow-up is preferred.
