This is a fully remote position, open to applicants in United States.
• Oversee designated public notice orders from the submission stage to publication confirmation.
• Verify order details and accompanying materials for completeness and precision.
• Handle multiple active placements and prioritize tasks based on urgency and deadlines.
• Monitor the progress of placements throughout the workflow.
• Engage with publishers across the country via email and phone regarding notice placements.
• Collect and confirm publisher rates, deadlines, requirements, and relevant placement information.
• Foster positive working relationships with publishers and uphold professional communication standards.
• Follow up on outstanding requests or information as necessary.
• Resolve publisher inquiries or issues that arise during the placement process.
• Maintain accurate records of publisher rates, requirements, deadlines, and placement information within Column’s systems.
• Identify missing or conflicting information and determine subsequent steps with publishers, customers, or internal teams.
• Address placement issues and escalate urgent or complex situations as needed.
• Adhere to established workflows, processes, and placement requirements.
• Communicate workload, obstacles, and time-sensitive orders to team members.
• Adjust to shifting priorities and provide support to the team based on placement volume and business needs.
• Recognize recurring issues and opportunities to optimize placement workflows.
• Complete training, shadow experienced colleagues, and progressively manage placements autonomously.
• Proactively identify placements at risk and contribute to improving placement speed, accuracy, and operational efficiency.
• Exceptional written and verbal communication skills.
• Strong attention to detail and commitment to accuracy.
• Excellent organizational and time management capabilities.
• Ability to manage a substantial volume of orders, communications, and deadlines concurrently.
• Proficient in professional communication with external partners via email and phone.
• Consistently follow documented processes and detailed instructions.
• Strong problem-solving abilities and a willingness to research information or seek clarification when requirements are ambiguous.
• Ability to prioritize tasks based on urgency and deadlines.
• Reliable follow-through and a strong sense of ownership of assigned responsibilities.
• Comfortable learning new systems, tools, and processes.
• Capable of working independently while also collaborating effectively within a team.
• Minimum of 1 year of experience in operations, order management, customer service, account coordination, administrative support, or a similar deadline-oriented role.
• Experience handling multiple requests, orders, or tasks with conflicting deadlines.
• Experience in professional communication with external partners, vendors, or customers via email and phone.
• Familiarity with systems that require accurate data entry, documentation, and status tracking.
• Experience working independently in a fast-paced environment with clear productivity and quality expectations.
• Experience in newspaper publishing, legal advertising, public notices, media placement, or print production is a plus.
• Experience collaborating with publishers, media organizations, or other external vendors is advantageous.
• Familiarity with legal notices, publication deadlines, affidavits, or proof of publication processes is a plus.
