This is a fully remote position, open to applicants in United States.
• Assist the Senior Manager, Grants & Contracts in managing the infrastructure for grants and contracts systems.
• Ensure that Smartsheet, Salesforce, and associated records are up-to-date and precise.
• Evaluate and enhance existing systems while aiding in the implementation of new systems.
• Offer contract management assistance across Sabin, particularly to the Global Immunization and Operations teams.
• Conduct procurements, oversee technical reviews and evaluations, draft subcontract agreements, facilitate negotiations, and support contract closeout processes.
• Aid in managing the entire contract lifecycle from pre-award to closeout.
• Execute contract documents and uphold grants and contracts systems.
• Organize documentation, create contract summary sheets, and monitor deadlines along with follow-up actions.
• Track and process incoming invoices from contractors.
• Carry out data entry tasks and generate reports.
• Provide contract-related guidance and support to subcontractors, consultants, and staff members.
• Assist with recurring funder reporting by compiling information regarding agreements, payments, and deliverables.
• Review budgets and planning documents to ensure compliance with contractual obligations.
• Perform additional administrative duties as assigned.
• A Bachelor’s degree is required.
• For the Associate level: 1+ years of relevant experience in grants and contracts administration, business operations, project coordination, or a related field.
• For the Senior Associate level: 4+ years of relevant experience in grants and contracts administration, business operations, project coordination, or a related field.
• Proven proficiency with Microsoft applications (Excel, Outlook, PowerPoint, Teams, Word, and SharePoint), Adobe Acrobat, and online research.
• Experience with Salesforce, Smartsheet, or similar database, workflow, or project management systems to maintain accurate records is essential.
• Direct experience with Salesforce and/or Smartsheet is highly preferred.
• Excellent communication and diplomacy skills, encompassing active listening, writing, and speaking capabilities.
• Strong attention to detail with the ability to manage complex tasks, process information efficiently and accurately, analyze data, resolve issues, and work independently.
• Highly organized, reliable, adaptable to shifting priorities, and capable of prioritizing competing demands to meet deadlines in a fast-paced environment.
• Strong interpersonal skills with the ability to collaborate across the organization and build relationships over geographical distances.
• Ability to listen attentively to feedback and comments, adjusting plans and actions as necessary.
