This is a fully remote position, open to applicants in New Mexico.
• Assist the move management team in the planning and execution of Move/Add/Change (MAC) projects.
• Oversee the decommissioning of floors, inventory management, and the redistribution of equipment, furniture, and resources across five corporate office buildings in New York City.
• Coordinate work from a central onsite location in NYC.
• Manage project budgets, timelines, procurement, quality assurance, and risk management.
• Handle MAC work order requests and larger-scale MAC initiatives that involve multiple trades or minor construction tasks.
• Collaborate with client end-users and project initiators.
• Define project scopes and gather additional project information.
• Source and supervise vendors, including managing RFPs, quotations, purchase orders, invoice reviews, ordering, scheduling, installation, and project closeout.
• Collaborate with Occupancy Managers to ensure accurate data collection and floor plan integrity.
• Interpret and apply agreements, contracts, leases, work letters, project charters, surveys, and architectural drawings.
• Specify project requirements directly with clients.
• Develop scopes of work, resource needs, cost estimations, budgets, schedules, milestones, quality controls, and risk assessments.
• Identify project delivery resources and conduct straightforward requests for proposals.
• Perform bid analysis with management's support.
• Lead project delivery teams and provide guidance and mentorship throughout the project lifecycle.
• Establish and implement communication plans, conduct meetings, prepare written reports, and document meeting minutes.
• Ensure project documentation governance, data integrity, and accuracy of documentation.
• Monitor project progress against objectives, budgets, and timelines; report on status and any discrepancies.
• Develop action plans to meet objectives, budget constraints, and scheduling requirements.
• Evaluate and manage change requests, secure client approvals, and issue change orders as necessary.
• Identify potential project risks, create mitigation and contingency plans, and execute risk-reduction strategies.
• Candidates must currently be authorized to work in the United States without requiring visa sponsorship, now or in the future.
• A Bachelor's Degree is preferred, along with 2-5 years of relevant experience.
• A combination of education and experience may be considered in lieu of a degree.
• Prior experience in Move Management, FF&E, or Occupancy Planning is highly preferred.
• Familiarity with desktop technology and troubleshooting network endpoint connectivity is advantageous.
• Proficient in Microsoft Office applications (Word, Excel, Outlook).
• Knowledge of MS Project is a plus.
• Strong experience with Excel is required.
• Excellent interpersonal skills paired with a curious mindset.
• Must be available for weekend work and after-hours commitments.
• Willingness to travel between client office locations within New York City.
