AR & Billing Specialist

This is a fully remote position, open to applicants in Brazil, +2 more countries.

📋 Description

• Generate and distribute recurring, one-time, variable-fee, performance-based, and hourly invoices for clients.

• Reconcile documented hours and variable-fee calculations with contracts and scopes.

• Manage billing timelines as clients initiate, modify, pause, or terminate services.

• Oversee collections processes, including follow-up schedules, accounts receivable aging, and days sales outstanding.

• Implement tailored collection strategies for specific accounts and suggest adjustments when necessary.

• Engage in daily cash flow assessments.

• Identify accounts at risk and propose appropriate actions.

• Prepare weekly cash and accounts receivable reports and draft the cash and collections segment of monthly reports.

• Maintain the weekly cash forecast by client and week.

• Process accounts payable through Ramp, handling vendor bills, approvals, contracts, payments, and vendor records.

• Manage payouts for creators, partners, and referrals using Ramp.

• Record invoices and payments in QuickBooks alongside the external bookkeeper.

• Conduct peer reviews of reported MRR and client information against billing records.

• Continuously enhance collections and billing procedures.

⛳️ Requirements

• 2–4 years of experience in accounts receivable, accounts payable, billing, or collections, preferably within an agency, professional services, or SaaS environment catering to US clients.

• Practical experience with QuickBooks Online.

• Familiarity with Ramp or a similar accounts payable tool is advantageous.

• Proficient in Google Sheets or Excel, with skills in lookups, pivot tables, and reconciliations.

• Strong attention to detail and accuracy.

• Confident in written and verbal communication with US client representatives.

• Sound judgment regarding interpersonal interactions and prioritization.

• Proactive with the ability to suggest effective solutions.

• Experience using Claude or comparable AI tools, or a willingness to learn.

• Proficient in written and spoken English.

• Availability to work from 9 AM to 5 PM EST; these hours are non-negotiable.
