This is a fully remote position, open to applicants in Texas.
• Provide administrative, organizational, communication, scheduling, documentation, and follow-up support to the Executive Director of Institutional Research.
• Manage and uphold the Executive Director’s calendar, appointments, meeting schedules, and follow-up tasks.
• Coordinate both internal and external meetings, which include scheduling, sending invitations, preparing agendas, gathering materials, taking notes, and following up on action items.
• Draft, proofread, and format correspondence, summaries, reports, presentations, and various other professional documents.
• Assist with training registrations, travel documentation, expense reports, purchasing requests, and operational requirements.
• Maintain electronic files, task trackers, meeting records, action items, and departmental documentation while employing version-control and record-keeping practices.
• Organize documentation pertinent to reporting processes, data requests, data governance, strategic initiatives, and executive briefings.
• Compile and format materials for presentations, committee meetings, executive updates, and communications related to Institutional Research.
• Facilitate coordination between the Executive Director and both internal and external stakeholders.
• Prepare draft communications, follow-ups, status updates, and reminders while monitoring responses, deadlines, and action items.
• Assist with the planning and logistics for meetings, reporting cycles, committee activities, and events related to Institutional Research.
• Provide regular status updates utilizing institutional collaboration tools.
• Identify any questions or missing information and escalate them to the Executive Director.
• Manage sensitive and confidential information in compliance with institutional policies, FERPA, and relevant privacy regulations.
• Perform additional related duties as assigned.
• High school diploma.
• Four years of relevant experience.
• Proficiency in word processing, spreadsheet, and database applications.
• Ability to multitask and collaborate effectively with others.
• Excellent verbal and written communication skills.
• Strong interpersonal and organizational capabilities.
• Ability to handle sensitive information while maintaining confidentiality.
• Capacity to work independently in a remote setting with minimal supervision.
• Responsiveness during designated work hours.
• Resume or Curriculum Vitae is required.
