Accounts Receivable Specialist

This is a fully remote position, open to applicants in Philippines.

📋 Description

• Record all daily cash receipts within 24 hours, encompassing bank transfers, ACH, wire payments, check deposits, and Stripe transactions.

• Attach remittance documentation to each payment posted in NetSuite.

• Daily reconciliation of Stripe payment activities and address subscription payment issues with customers.

• Investigate and resolve issues related to unapplied cash, misapplied payments, and short payments.

• Manage the AR Suspense account with detailed notes on unresolved items.

• Oversee the complete accounts receivable aging report across all customer segments.

• Conduct documented collections outreach for every account over 30 days past due via phone and email, with notes in NetSuite.

• Escalate accounts exceeding 60 days for suspension and cancellation processes in collaboration with the Subscription team.

• Propel outreach escalation through first, second, and third contacts as necessary.

• Act as the main AR contact for inquiries regarding payments, disputes, credit memo requests, and reconciliation requirements.

• Communicate with external third-party collections agencies regarding referred accounts.

• Record all customer interactions within NetSuite.

• Alert the Accounting Manager to high-risk balances with a documented recommendation.

• Prepare the weekly AR aging summary for the Accounting Manager.

• Monitor and report on DSO, CEI, and over-60-day balance concentration.

• Identify recurring payment challenges and opportunities for process improvements.

• Collaborate with Finance, Sales, and Customer Success teams.

• Report directly to the Accounting Manager in Pullman and work closely with the wider Finance team.

⛳️ Requirements

• Minimum of 4 years of accounts receivable experience in a corporate or SaaS setting.

• Strong accounting foundation with a comprehensive understanding of accounts receivable processes, cash application, and financial reconciliation.

• Experience working US business hours for a US-based client.

• Excellent written and verbal communication skills in English, with the professionalism and diplomacy to represent the company in customer-facing collections discussions.

• High attention to detail and proven accuracy in cash application and financial record-keeping.

• Capability to manage a substantial customer portfolio and prioritize a high-volume queue against specified performance targets.

• Direct experience with NetSuite, Stripe, and Salesforce preferred.

• Familiarity with Dialpad or a similar cloud phone system preferred.

• Conversational Spanish in addition to strong English preferred.

• Proven ownership of the AR function in a growth-stage or SaaS company preferred.

• Experience managing a portfolio of 500 or more active customer accounts preferred.

• Prior responsibility for presenting monthly aging reviews to Finance leadership preferred.

• Previous experience in a SaaS or subscription billing environment preferred.

• Associate degree or higher in Accounting, Finance, Business, or a related field preferred.

• Proficiency in NetSuite preferred: cash application, customer records, journal entries, account reconciliation.

• Proficiency in Stripe preferred: subscription billing, handling failed payments, coordinating lock and unlock workflows.

• Proficiency in Salesforce preferred: customer account reviews, activity history, account notes.

• Advanced skills in Microsoft Excel preferred: pivot tables, VLOOKUP/XLOOKUP, data cleanup, reconciliation.

• Fluency in Google Workspace preferred: email, Chat, Docs, Sheets.
