This is a fully remote position, open to applicants in United Kingdom.
• Oversee and manage the owner's business email inbox.
• Remove routine clutter and uphold the current organization of the client's inbox.
• Recognize messages that require prompt attention.
• Highlight outstanding emails or messages that need the owner's action.
• Compose or send basic routine emails when necessary.
• Assist in resolving important communications.
• Supervise designated client account inboxes.
• Identify incoming supplier invoices.
• Forward invoices to the appropriate bookkeeping software using specified email addresses.
• Maintain a well-organized system for incoming financial documents.
• Detect missing or unusual documentation for internal review.
• Compare supplier statements against records in Xero.
• Verify that invoices on supplier statements have been accurately entered.
• Review customer remittances.
• Mark applicable invoices as paid using the correct payment date.
• Assist with basic transaction cross-checking and administrative tasks related to reconciliation.
• Flag discrepancies for further review.
• Monitor client identification records and their expiration dates.
• Help ensure that necessary client risk assessments are completed at regular intervals.
• Adhere to documented internal compliance procedures.
• Keep accurate records and trackers.
• Assist with ongoing anti-money laundering and client administration requirements.
• Complete additional executive and practice administration tasks as assigned.
• Provide task-specific business support services aimed at enhancing client efficiency, service delivery, and operational functions.
• Report to a designated point of contact, to be determined.
• Previous experience in bookkeeping, accounting administration, or finance support is strongly preferred.
• Xero experience is highly preferred.
• Prior experience in email and inbox management is preferred.
• Strong written English skills are required.
• Experience in reviewing invoices, supplier statements, and remittances is preferred.
• Exceptional attention to detail is essential.
• Executive assistant or administrative support experience is an advantage.
• Experience working with UK businesses or accounting practices is a plus.
• Understanding of confidential financial data handling is required.
• Familiarity with GDPR is preferred; training can be provided if necessary.
• Highly organized and detail-oriented.
• Comfortable working independently following established procedures.
• Reliable in managing repetitive, deadline-driven tasks.
• Capable of identifying discrepancies and flagging them appropriately.
• Strong follow-through skills.
• Comfortable managing confidential client and financial information.
• Able to proactively inform the owner of matters requiring her attention.
• Knowledge of Xero.
• Familiarity with Microsoft Outlook / Email Platforms.
• Knowledge of Microsoft Teams.
• Proficient in Microsoft Excel / Google Sheets.
• Familiarity with Microsoft Office / Google Workspace.
• Understanding of Remote Desktop Systems.
• Proficient in the English language; strong written and spoken English is required.
• Availability from Monday to Friday during early morning UK time, with a schedule to be mutually agreed upon in writing.
• Must operate under a Master Services Agreement and Statement of Work as an independent contractor.
• Must adhere to applicable timelines, guidelines, and written deliverables.
