This is a fully remote position, open to applicants in United States.

📋 Description

• Manage daily operational workflows to ensure they are efficient, consistent, and in line with organizational standards.

• Detect bottlenecks, recurring problems, and operational deficiencies, then create effective solutions.

• Establish accountability and ownership within operational processes.

• Collaborate with leadership to develop, document, and maintain standard operating procedures.

• Oversee operational tasks, deadlines, and expectations.

• Track staff availability, capacity, utilization, and scheduling.

• Assess staffing capacity relative to client needs, authorized hours, and anticipated demand.

• Address staffing shortages, coverage issues, and scheduling challenges with scheduling and clinical leadership.

• Assist in workforce allocation and capacity planning.

• Supervise processes that support accurate and timely billing and revenue cycle activities.

• Monitor the completion, accuracy, and compliance of timesheets.

• Resolve discrepancies among scheduled, authorized, and delivered services.

• Identify chances to minimize billing delays, documentation issues, missed services, and revenue loss.

• Take ownership of operational KPIs and performance metrics.

• Create and maintain dashboards and reporting tools.

• Prepare ongoing operational reports for leadership.

• Analyze data and provide actionable recommendations to stakeholders.

• Lead or assist in cross-functional process improvement projects.

• Reduce manual workload, administrative overhead, duplication, and delays.

• Oversee the operational aspects of the client journey from intake through onboarding and continuous service delivery.

• Address client-impacting issues with clinical, intake, scheduling, and administrative teams.

• Provide operational leadership, guidance, and support to assigned teams.

• Set expectations, priorities, and accountability standards.

• Coach and give feedback to direct reports as necessary.

• Act as a point of contact for operational escalations and cross-functional problem-solving.

• Collaborate with leadership on operational strategy, resource distribution, and overall organizational efficiency.

• Engage in organizational growth planning and initiatives.

• Evaluate operational implications of organizational changes, programs, staffing models, and service delivery initiatives.

• Lead cross-functional operational projects from planning through execution.

• Stay updated on behavioral health industry practices, regulatory requirements, and operational trends.


⛳️ Requirements

• Bachelor’s degree in Business Administration, Healthcare Administration, Operations Management, or a related field is preferred.

• Minimum of 3 years of experience in operations, healthcare or behavioral health administration, business administration, project management, or a related field is preferred.

• Experience in supervising or managing employees is preferred.

• Familiarity with managing workflows, processes, performance metrics, or cross-functional operational initiatives is essential.

• Experience in scheduling, workforce management, billing, or service delivery processes is preferred.

• Strong proficiency in Google Workspace, including Google Sheets, and/or Microsoft Office, particularly Excel.

• Excellent analytical and problem-solving abilities with a knack for interpreting data and identifying trends.

• Exceptional organizational skills and attention to detail, capable of managing multiple priorities, projects, and deadlines.

• Strong written and verbal communication skills.

• Ability to cultivate effective working relationships across departments and organizational levels.

• Good judgment, discretion, and the ability to escalate issues appropriately.

• Solutions-oriented mindset with the capacity to identify problems, devise solutions, and ensure follow-through.

• Comfortable working in a fast-paced, dynamic environment.
