ABA Client Services Coordinator - US Healthcare

This is a fully remote position, open to applicants in South Africa.

📋 Description

• Coordinate the availability, schedules, and updates of therapists that impact client sessions.

• Communicate with families and parents regarding updates on scheduling, inquiries, and matters of coordination.

• Identify and source RBT/ABA Therapist candidates through various recruitment channels.

• Assist in pairing RBTs/ABA Therapists with clients based on their availability, location, and specific client requirements.

• Ensure accurate maintenance of therapist and client information within relevant systems.

• Identify and escalate issues related to scheduling conflicts, staffing shortages, and outstanding responses.

• Compose and send clear, professional, and empathetic communications to both RBTs and families.

• Provide administrative and coordination support to the broader team.

• Conduct follow-ups and manage administrative tasks to keep client services organized and on schedule.

⛳️ Requirements

• Exceptional verbal communication skills.

• Strong written communication abilities.

• Previous experience in a coordination, scheduling, administrative, or client-facing support role is preferred.

• Familiarity with ClickUp and/or CentralReach is a significant advantage.

• Knowledge of the ABA therapy sector or experience in healthcare, disability services, or education is beneficial.

• Highly organized with a keen attention to detail and the capability to manage multiple follow-ups concurrently.

• Self-motivated and proactive, able to take ownership of tasks and complete them without requiring constant supervision.

• Comfortable in a fast-paced environment that demands high levels of communication.

• Capable of working independently while effectively collaborating with a broader U.S.-based team.

• Availability from Monday to Friday, between 09:00 and 18:00 EST, which corresponds to 15:00 to 00:00 South African time, subject to daylight savings.

• A mandatory fixed fibre internet connection with a minimum speed of 25 Mbps for both upload and download, along with wired Ethernet capability.

• Reliable power backup to manage load shedding or outages.
