This is a fully remote position, open to applicants in Alabama.
• Assist originators in setting appointments with potential and existing applicants.
• Respond to new lead callbacks within 20 minutes and achieve a 35% lead-to-appointment conversion rate.
• Oversee client databases, including lead tracker, MyCircle, and Zillow.
• Distribute online pre-qualification links to new clients.
• Retrieve and prepare web applications, update credit reports, and AUS findings.
• Schedule and confirm appointments for originators and manage their calendars.
• Draft and send thank-you cards to referral sources and new clients.
• Serve as a point of contact for customers and referral sources within the boundaries of SAFE Act and privacy policies.
• Conduct credit checks on loans assigned to originators.
• Request updates from pre-approved clients and referral sources.
• Collect documentation from expired and pre-approved clients.
• Coordinate, create, obtain compliance approval for, track, and disseminate advertising materials.
• Manage compliance-approved email marketing campaigns targeted at realtors.
• Monitor crucial dates related to loan transactions.
• Distribute loan forms, disclosures, agreements, and supporting documentation for completion and signature.
• Oversee originator databases and track active loans.
• Maintain customer communication and address basic inquiries.
• Assist in the collection and organization of loan applications and documentation for processing.
• Order 4506T, SSA, Credit Supplements, AccountCheck, and Work Number as necessary.
• Submit loan applications for processing and help resolve any file issues.
• Escalate processor conditions and assist in clearing loan conditions.
• Provide administrative support throughout production and underwriting processes.
• Update referral sources on loan status.
• Stay informed about approved programs and software systems.
• Offer clerical and administrative assistance as required.
• Work under direct supervision with limited independent judgment and escalate complex issues accordingly.
• High school diploma or equivalent is preferred.
• At least one year of experience in mortgage lending or a related field is required.
• Active MLO licensing is not mandatory.
• Ability to handle multiple priorities effectively.
• Strong attention to detail and exceptional organizational skills.
• High sense of urgency and responsiveness.
• Focus on customer service.
• Patience and professionalism when dealing with both internal and external customers.
• Proficient in data entry, PDF software programs, Microsoft Word, and Excel.
• Excellent verbal and written communication abilities.
• Basic mathematical skills.
• Ethical disposition with a commitment to the company's values.
• Proficient in Microsoft Office Suite, Word, Excel, Wiki, collaborative cloud-based programs, and third-party software applications.
• No direct or indirect reports are required.
• Travel: 0%.
• Primarily sedentary work; frequent use of a computer keyboard and mouse.
