This is a fully remote position, open to applicants in District of Columbia, +1 more state.
• Serve as the primary point of contact for designated conference support for ASTMH, MIM, and additional events as required.
• Facilitate the effective management and execution of technical activities.
• Provide technical assistance in overseeing Jhpiego’s participation at the ASTMH Annual Meeting and MIM Conference.
• Offer surge support for the preparation, planning, coordination, communication, knowledge management, and reporting related to conferences before and after they occur.
• Handle attendee lists, registrations, visa applications, flight arrangements, and hotel bookings.
• Assist in enhancing the conference website presence and create attendee booklets.
• Monitor accepted abstracts and manage the review, development, finalization, printing, and delivery of presentations and posters.
• Formulate plans for conference presence, attendance, communication, and activities.
• Coordinate social media messages and provide real-time updates during the conference.
• Organize meetings with donors and partners.
• Compile final conference reports.
• Oversee MIM abstract calls, review processes, conference updates, Microsoft Teams sites, Excel trackers, booth arrangements, side meetings, and staff events.
• Collaborate with technical leads, country offices, GECO, GPO, and other departments.
• Manage conference budgets, expenses, vendors, contracts, supplies, registration feeds, and hotel payments.
• Coordinate travel arrangements for participants, including visa processes and invitation letters.
• Assist in the development of presentations and posters while ensuring proper branding.
• Bachelor's degree with 3 years of relevant work experience.
• Proven experience in managing conference preparation and presence in support of global health or development programs.
• Expertise in creating communication materials such as success stories, newsletters, infographics, briefs, and presentations.
• Strong skills in writing, editing, and organization.
• Ability to convert technical program information into clear and accessible content.
• Capacity to work across multiple country teams while managing competing priorities and tight deadlines.
• Familiarity with branding and marking requirements for donor-funded projects is advantageous.
• Proficient in using MS Office 365 suite, including PowerPoint, Excel, SharePoint, and Teams.
• Experience with tools such as JIRA.
• Excellent oral and written proficiency in English.
