This is a fully remote position, open to applicants in Philippines.
• Assist the Handover team with project administration, coordination, and execution activities.
• Ensure precise project records, documentation, and audit trails are maintained using Jira, CRM systems, reports, and dashboards.
• Support Senior Technical Handover Success Managers with everyday project administration, coordination, and follow-up duties.
• Aid in the onboarding of suppliers and subcontractors, including the collection of documentation, follow-ups, and system assistance.
• Communicate with suppliers, subcontractors, and internal stakeholders to facilitate project advancement.
• Identify and escalate any project, documentation, or onboarding challenges, and follow up on resolutions.
• Organize project meetings, prepare agendas, document minutes, and distribute action items.
• Assist with quality assurance processes to ensure documentation aligns with project standards.
• Participate in process enhancements and preventative strategies to improve project delivery outcomes.
• Execute assigned CRM and administrative responsibilities while supporting team KPIs and delivery objectives.
• Work collaboratively with project teams to ensure effective and successful project execution.
• Undertake additional responsibilities as required.
• A degree in Architecture, Engineering, Construction Management, or a related technical field is mandatory.
• Prior experience in project administration, construction administration, technical administration, handover documentation, office administration, or a comparable support role.
• Familiarity with the construction, engineering, architecture, building, or technical project sectors is highly valued.
• Excellent organisational abilities, capable of managing multiple tasks, prioritising effectively, and keeping detailed project records.
• Strong attention to detail in documentation, data entry, client communications, meeting notes, and project records.
• Proficient in Jira, CRM systems, Microsoft Office Suite, and other project management or task-tracking software.
• Ability to communicate efficiently with internal project teams, suppliers, subcontractors, and external stakeholders.
• Strong written English skills, capable of clearly documenting updates, meeting notes, issues, and project information.
• A proactive problem-solving mindset, able to identify challenges, escalate concerns, and follow up on solutions.
• Capability to adhere to quality standards, project procedures, documentation requirements, and established workflows.
• Comfortable operating in a fast-paced project environment with deadlines, KPIs, and competing priorities.
• Collaborative, dependable, and able to provide administrative support that facilitates smooth project delivery.
• Must be available to work mid-shift from 5:00 PM to 2:00 AM PHT.
