This is a fully remote position, open to applicants in Portugal.
• Oversee the complete recruitment cycle for positions in science, engineering, regulatory, clinical, and business sectors.
• Actively seek out and recruit passive candidates for challenging-to-fill positions.
• Develop and sustain talent pipelines and market maps within photonics/optics, AI/ML, regulatory affairs, and clinical operations.
• Conduct structured, candidate-friendly interview processes alongside hiring managers.
• Collaborate with executive leaders and department heads to establish role definitions and interview strategies.
• Embody and communicate iLOF's culture and mission to prospective candidates.
• Oversee procurement platforms for laboratory consumables, equipment, and office/operational supplies.
• Identify suppliers, evaluate quotes, and manage orders and tracking.
• Coordinate AI platforms for invoicing and related administrative functions.
• Process supplier invoices, monitor payments, and liaise with finance/accounting for documentation coordination.
• Manage general administrative tasks, including document handling and logistics for teams in Portugal and the UK.
• Assist in establishing and enhancing operational processes as the company grows.
• Undertake ad hoc operational and administrative projects.
• Demonstrated experience in recruitment/talent acquisition, particularly in headhunting for specialized or hard-to-source roles.
• Proficient in utilizing AI tools in daily operations; this is essential.
• Familiarity with using AI tools for sourcing, screening, outreach drafting, and market mapping.
• Previous experience in a startup environment is preferred.
• Adaptable to ambiguity, changing priorities, and process development.
• Experience or a strong interest in medtech, biotech, or deep-tech recruitment is highly desirable.
• Capability to engage in meaningful discussions with photonics engineers or regulatory leaders regarding candidate qualifications.
• A proactive operator’s mindset, including sourcing candidates via LinkedIn, gathering supplier quotes, and reconciling invoices.
• Exceptional written and verbal communication skills in English.
