This is a fully remote position, open to applicants in United States.
• Take charge of comprehensive logistics and project management for donor cultivation and stewardship events.
• Supervise brand visibility and message integration across various event touchpoints.
• Manage vendors, venues, catering, audiovisual needs, contracts, invoicing, and post-event wrap-up.
• Create run-of-show documents, production schedules, event timelines, and budget trackers.
• Oversee RSVPs, guest communications, attendee management, signage, printed materials, and name tags.
• Act as the primary contact on the event day for vendors, venues, and on-site logistics.
• Collaborate with the Director of Supporter Experience to ensure alignment of strategy and logistics.
• Assist executives, board members, and VIP stakeholders with briefings, materials, and logistics.
• Develop decentralized event models and materials for local supporter gatherings.
• Project-manage logistics for internal revenue channel teams.
• Lead initiatives for Pride Month, Mental Health Awareness Month, National Suicide Prevention Month, and Trevor’s Birthday.
• Support strategic engagements, conferences, panels, tabling opportunities, and group activities.
• Coordinate advancement engagement for board and executive participation in events and speaking roles.
• Drive non-event supporter experiences and virtual engagement initiatives, including webinars and digital materials.
• Execute post-event stewardship plans and donor journeys.
• Oversee follow-up, thank-you workflows, action items, and documentation of strategic outcomes.
• Manage event data in Salesforce, including RSVPs, outcomes, engagement history, and donor interactions.
• Utilize Asana and Google Workspace for timelines, assignments, and cross-team visibility.
• Provide updates, identify risks, escalate issues appropriately, and manage communications upwards.
• Handle confidential donor information and wealth screening data responsibly.
• Promote belonging, equity, and inclusion among staff, volunteers, and supporters.
• Proven experience in managing events from inception to execution, encompassing logistics, vendor coordination, and day-of operations; experience in a nonprofit or mission-driven organization is preferred, with transferable experience from related fields also considered.
• Strong project management capabilities, including the ability to oversee multiple events concurrently, maintain detailed timelines, and meet deadlines in a fast-paced environment.
• Experience with CRM or donor database platforms (Salesforce preferred; comparable platforms or transferable experience will be considered).
• Familiarity with project management tools such as Asana or similar platforms.
• Proficient in Google Workspace, with experience in document management and mail merge functions.
• Knowledge of peer-to-peer fundraising platforms like GoFundMe Pro or similar tools.
• Exceptional written and verbal communication skills, with the ability to collaborate effectively with internal teams, vendors, and external stakeholders.
• Strong attention to detail and a solutions-oriented approach to problem-solving.
• Willingness to work occasional evenings or weekends as dictated by event schedules.
• Proficiency in both spoken and written English.
• Authorization to work for any employer in the United States is required.
