This is a fully remote position, open to applicants in Massachusetts.
β’ Oversee the organization and support of installation projects to guarantee timely execution and successful results.
β’ Monitor team workloads and resource distribution to ensure proper coverage and efficient task allocation.
β’ Ensure consistent implementation of scheduling, documentation, communication, and project support processes.
β’ Assist in resolving escalated scheduling conflicts, customer issues, resource limitations, and project-related challenges.
β’ Collaborate with field operations, project management, and other departments to enhance coordination and service delivery.
β’ Ensure project documentation, tracking systems, and administrative records are precise, complete, and maintained according to company standards.
β’ Gather, analyze, and interpret operational and performance data related to project coordination activities.
β’ Develop and maintain reports, dashboards, and KPIs to assess team productivity and effectiveness.
β’ Analyze trends associated with project volume, project status changes, work orders, scheduling activities, labor utilization, material movement, backlog management, and other operational metrics.
β’ Provide regular updates and recommendations to leadership regarding team performance, capacity needs, process efficiency, and business trends.
β’ Identify opportunities for process enhancements and operational efficiencies through data analysis and performance tracking.
β’ Aid in forecasting and workforce planning by analyzing workload trends and resource requirements.
β’ Establish and uphold standardized procedures and best practices for project coordination tasks.
β’ Monitor team adherence to internal processes, documentation standards, and customer service expectations.
β’ Evaluate workflows and implement process improvements to boost efficiency, accuracy, and scalability.
β’ Support continuous improvement initiatives that enhance customer experiences and operational performance.
β’ Engage in the development and implementation of new tools, systems, and reporting capabilities.
β’ Act as a liaison between Project Coordinators, field operations, project management, and other business functions.
β’ Collaborate with leadership to set priorities, staffing strategies, and operational objectives.
β’ Assist with departmental initiatives and special projects as assigned.
β’ Communicate operational trends, challenges, and recommendations to management.
β’ High school diploma or GED.
β’ More than 5 years of relevant experience, including customer service, dispatch, or technical support; or an equivalent combination of education and experience.
β’ Familiarity with project management, workforce management, ERP, or scheduling software.
β’ Experience with scheduling or workforce management software.
β’ Knowledge of low-voltage systems, construction projects, or technical terminology.
β’ Proficient in Microsoft Office and comfortable utilizing business software tools.
β’ Experience in creating dashboards and data visualizations using Excel, Power BI, or similar reporting tools.
β’ Strong attention to detail and accuracy in documentation.
β’ Excellent communication, organization, problem-solving, and customer service skills.
β’ Ability to manage workload independently, prioritize tasks, and work with minimal supervision.
β’ Capable of collaborating effectively with both office and field teams.
β’ Demonstrates a willingness to learn, grow, and adapt within a professional setting.
β’ Preferred: Associate's or Bachelor's degree in Business, Project Management, Operations Management, or a related field.
β’ Preferred: Experience in leading teams within construction, security integration, fire alarm, low-voltage, AV integration, or technical service environments.
