This is a fully remote position, open to applicants in Wisconsin.
β’ Assist the Director in the planning, execution, and success of both domestic and international experiential programs.
β’ Oversee the tactical and operational aspects of high-touch programs.
β’ Organize accommodations, transportation, ticketing, hospitality venues, food and beverage, entertainment, gifting, staffing, guest communications, and additional program details.
β’ Manage event lifecycle logistics, including hotel room blocks, ground transportation, registration, uniforms, collateral, signage, itineraries, and onsite materials.
β’ Create meeting materials, presentations, status updates, guest communications, and both internal and external communications.
β’ Collaborate with clients, internal teams, vendors, suppliers, and onsite field staff.
β’ Develop guest registration content, event communications, FAQs, confirmation messages, and itineraries.
β’ Assist with program budgets, track expenses, process invoices, reconcile costs, and keep financial records up to date.
β’ Enhance templates, tracking tools, operating procedures, and post-program reporting.
β’ Travel for site inspections, client meetings, and onsite program execution.
β’ Demonstrated experience in supporting the planning and execution of high-touch corporate hospitality programs in both domestic and international markets.
β’ Experience in coordinating accommodations, transportation, ticketing, hospitality venues, food and beverage, entertainment, gifting, staffing, guest communications, and other operational aspects.
β’ Familiarity with managing event lifecycle details such as hotel room blocks, ground transportation, registration, gifting, uniforms, marketing collateral, signage, guest itineraries, and onsite materials.
β’ Ability to sustain project plans, workback schedules, timelines, checklists, and tracking documents.
β’ Strong client service and stakeholder relationship management skills.
β’ Excellent written communication abilities.
β’ Experience in supporting budgets across various programs and markets.
β’ Proficient in monitoring expenses, processing invoices, reconciling costs, maintaining accurate financial records, and identifying variances or risks.
β’ Background in corporate event coordination, hospitality, experiential marketing, logistical planning, and/or high-stakes onsite execution.
β’ Proficient in Microsoft Office and relevant project management, registration, and event technology platforms.
β’ Willingness and ability to travel domestically and internationally.
β’ Capability to work extended periods from host cities or local offices, with flexible availability during nights, weekends, and holidays.
