This is a fully remote position, open to applicants in Philippines.
• Oversee multiple simultaneous signage projects for various client accounts, ensuring that all projects adhere to set timelines and specifications.
• Assist with approximately 2–10 client accounts as part of a project management team, with project volumes potentially reaching 100 across the team.
• Operate under the guidance of the Project Manager, providing support to Project Coordinators by delegating tasks based on client needs, project phase, or milestone.
• Keep precise project information, milestones, deadlines, documentation, and status updates using the company’s online project management system.
• Engage with clients via email, phone, and Microsoft Teams Chat to deliver updates, clarify requirements, and respond to project-related inquiries.
• Solicit quotes from vendors, collect and compare pricing, and compile information for project proposals.
• Organize vendor quotes and project data into worksheets and create accurate job proposals using predefined templates.
• Investigate municipal signage codes and regulations to ascertain applicable restrictions, allowances, and project considerations.
• Coordinate and assist with permitting and inspection needs across various jurisdictions.
• Review regulations, pinpoint potential issues, and liaise with municipalities or other stakeholders to clarify requirements.
• Interpret basic architectural drawings, including A-sheets and wall sections, to comprehend signage locations, mounting points, wall construction, and project specifications.
• Examine project specifications and documentation concerning sign installation, electrical needs, mounting, and attachment considerations.
• Support projects involving building signs, projecting signs, canopies, awnings, wayfinding signage, ADA signage, illuminated signs, and non-illuminated signs.
• Maintain orderly project files, proposals, quotes, drawings, permits, and other documentation using Google Docs and Dropbox.
• Collaborate with clients, vendors, municipalities, designers, project managers, and other stakeholders.
• Identify project risks or delays, ask pertinent follow-up questions, and work towards feasible solutions.
• Balance competing deadlines and priorities while ensuring accuracy and achieving critical milestones.
• A minimum of 2 years of experience in project coordination, project management, or a related field.
• Exceptional organizational and time management abilities, capable of handling multiple projects, accounts, and deadlines concurrently.
• Experience using online project management portal software.
• Proficiency in Microsoft Office, especially Word, Excel, Outlook, and Teams.
• Skilled with PDF tools, Google Docs, and Dropbox.
• Background in requesting, organizing, comparing, and compiling vendor quotes into worksheets for job proposals.
• Familiarity with code due diligence, permitting, and inspections.
• Ability to read and interpret basic architectural drawings.
• Strong attention to detail and the capability to work accurately with technical information.
• Excellent written and verbal communication skills in English.
• Comfortable communicating via phone, email, and Microsoft Teams Chat.
• Strong problem-solving abilities and the capability to ask relevant follow-up questions when requirements are vague.
• Highly organized, proactive, and adept at multitasking.
• A Windows-based laptop or desktop is essential for this position.
• Previous experience in the signage industry, particularly with exterior and interior signage. (Nice-to-have)
• Experience with both illuminated and non-illuminated signage. (Nice-to-have)
• Knowledge of building signs, projecting signs, canopy signs, awning signs, wayfinding signage, and ADA signage. (Nice-to-have)
• Background in architecture, construction, engineering, or permitting. (Nice-to-have)
• Familiarity with CorelDRAW or similar graphic design software, such as Adobe Illustrator or Photoshop. (Nice-to-have)
• Experience with additional PDF editing or markup tools. (Nice-to-have)
• Previous client-facing project management experience. (Nice-to-have)
• Experience coordinating projects that involve multiple vendors, jurisdictions, or locations. (Nice-to-have)
