Senior Project Manager

This is a fully remote position, open to applicants in Illinois.

📋 Description

• Oversee daily internal operations and project delivery for strategic, creative, and medium-to-high complexity initiatives across multiple brands.

• Manage the complete lifecycle of intricate technical, strategic, and creative projects from their inception to final execution.

• Create and oversee project timelines, estimates, risk registers, communication plans, burn reports, and change logs.

• Lead the processes for estimation, project budgeting, resource planning, and timeline development.

• Conduct project kickoffs and status update meetings.

• Generate, review, and disseminate meeting summaries; mentor Project Managers and Project Coordinators on actionable summaries.

• Develop financial forecasts and manage monthly billing, analysis, and actions.

• Assist in the creation of annual and project-specific statements of work and change orders.

• Provide insights for program Gantt charts.

• Identify, assess, document, communicate, and mitigate risks at both project and program levels.

• Determine staffing needs and maintain precise resource plans.

• Resolve conflicts related to scope, schedule, resources, budget, quality, and communication.

• Ensure that project documentation is stored in enterprise systems like Workfront and TFS.

• Implement Intouch delivery processes and adhere to PMO standards.

• Mentor and provide training support for Project Managers and Project Coordinators.

• Serve as the first escalation point for Project Managers and Project Coordinators.

• Keep the direct manager updated and escalate issues to leadership when necessary.

• Participate in candidate interviews as required.

• Monitor team morale, address concerns, exemplify inclusive behaviors, and proactively manage biases.

⛳️ Requirements

• A Bachelor's degree or equivalent educational background combined with professional experience is required.

• Three to five years of experience in a PMO role is necessary.

• Experience in the pharmaceutical or advertising sector is preferred (AOR or DAOR).

• Advanced knowledge and application of PMO standards and processes are essential.

• Proven experience in leading complex technology, strategy, and creative projects.

• Capability to develop innovative, strategic, or technically complex project plans.

• Experience in leading diverse functional teams and project groups.

• Understanding of project forecasting and reforecasting throughout the project lifecycle.

• Expertise in project and program burn analysis and remediation.

• Management of scope and change tracking and adherence.

• Comfortable with client-facing communications.

• Strong critical thinking and problem-solving abilities; skilled in anticipating, assessing, and mitigating risks.

• Ability to build trust, negotiate, and influence decision-making with Account leads, SMEs, clients, partner agencies, and third-party vendors.

• Demonstrated ownership and accountability.

• Strong decision-making and implementation skills, particularly in uncertain situations.

• Familiarity with Workfront, Workfront Proof, Smartsheet, or MS Project is beneficial.

• Proficient in Microsoft Office Suite, especially Excel.

• Experience in launches is an advantage.
