This is a fully remote position, open to applicants in United States.
• Take complete ownership of US payroll processing for over 500 employees.
• Oversee payroll inputs and modifications, including new hires, terminations, compensation adjustments, bonuses, deductions, and leaves of absence.
• Detect and resolve any payroll discrepancies that may arise.
• Act as the primary payroll subject matter expert, addressing employee inquiries effectively.
• Collaborate with ADP and internal stakeholders to tackle payroll, tax, and deduction-related issues.
• Handle multi-state payroll and tax obligations, ensuring compliance with New York's Convenience of the Employer rule and associated withholding.
• Manage payroll alongside benefits administration related to invoicing.
• Supervise changes in employee deductions and qualifying life events.
• Review and reconcile invoices for benefits and monitor self-funded plan activities.
• Confirm employee eligibility, enrollment, payroll deductions, and associated plan fees.
• Work in conjunction with the Accounting department on discrepancies and financial reconciliations.
• Assist with month-end, year-end, W-2 preparation, open enrollment, benefits renewals, audits, and other recurring processes.
• Maintain accurate documentation and controls.
• Identify opportunities to automate, simplify, and scale payroll and benefits processes.
• Collaborate with Finance, People Ops, ADP, and benefits partners.
• Minimum of 4 years of practical experience in payroll and benefits administration.
• Proven experience managing payroll through ADP Workforce Now for a workforce of at least 500 employees in the US.
• Demonstrated experience handling multi-state payroll.
• Experience in reconciling benefits invoices effectively.
• Strong knowledge of federal, state, and local payroll and tax regulations.
• Hands-on experience in benefits administration and invoice reconciliation processes.
• Ability to pinpoint discrepancies in payroll, HRIS, carrier, and vendor data.
• High proficiency in Excel or Google Sheets.
• Comfortable dealing with large datasets, reconciliations, audits, and reporting tasks.
• Strong attention to detail and a commitment to meeting deadlines.
• Excellent, empathetic communication skills coupled with sound judgment.
• Experience with self-insured benefits plans and familiarity with New York's Convenience of the Employer rule is strongly preferred.
