This is a fully remote position, open to applicants in United States.
• Oversee fee rejections from identification to resolution, ensuring thorough research, follow-up, collection tracking, and documentation of outcomes.
• Accurately and promptly process advisory fee refunds, validating supporting information and coordinating with internal partners.
• Conduct reconciliations, investigate discrepancies, and assist in resolving outstanding reconciling items.
• Prepare and finalize accounts receivable uploads, ensuring data completeness and accuracy.
• Assist with referral billing submissions and miscellaneous billing tasks, including issue resolution and ongoing operational activities.
• Provide cross-coverage for one-off fee submissions across custodians, adhering to billing controls and documentation requirements.
• Act as a team resource and subject matter expert for billing processes, addressing questions and resolving issues.
• Support dashboards and reporting through data validation, exception follow-up, and regular operational reporting.
• Ensure business continuity and operational coverage through cross-training, procedure maintenance, and backup support.
• Complete additional projects and activities as required.
• High school diploma or equivalent is required; post-secondary education is preferred.
• Minimum of five years of experience in financial services is required, ideally in an RIA or broker-dealer setting.
• Familiarity with portfolio accounting or management systems, preferably Orion, and CRM systems such as Salesforce.
• Experience with Orion billing is preferred.
• Proficiency in Microsoft Office is necessary.
• Advanced Excel skills are required.
• Possession of securities and/or insurance licenses is a plus.
• Excellent verbal and written communication skills are essential.
• Ability to work independently as well as collaboratively within a team environment.
• Strong analytical, problem-solving, and attention-to-detail abilities are required.
• Capacity to adapt to evolving processes and procedures while integrating new requirements into standard workflows.
• Proven ability to effectively leverage AI tools and technologies in daily work tasks.
• Understanding of how to formulate effective prompts, assess AI-generated content for accuracy and appropriateness, and incorporate AI tools to enhance productivity while upholding quality standards.
• Willingness to learn new AI applications and familiarize oneself with their appropriate use cases and limitations.
• Commitment to ongoing learning and adaptation to new AI tools and methodologies as AI technology advances.
• Ability to stand or sit for extended periods, file documents in high or low cabinets, use the telephone, and operate computer systems.
