This is a fully remote position, open to applicants in Mexico.
• Provide administrative and technical assistance to the Global Clinical Supplies Project Team.
• Plan, organize, and coordinate responsibilities related to project administration.
• Maintain procedures, guidelines, documentation, project records, and database repositories.
• Ensure that regulatory documents are accurate, processed, and approved.
• Perform data entry and generate reports and data collections for analysis.
• Support quality reviews and mentor junior staff members.
• Review, coordinate, and compile files and materials.
• Distribute project documents, supplies, communications, reports, and forms.
• Process and track regulatory, study-specific, departmental, and vendor documents.
• Review files while maintaining correspondence and departmental records.
• Analyze and reconcile project documents, metrics, and findings reports.
• Clarify and resolve any documentation discrepancies.
• Assist with translation materials and ensure translation quality control.
• Maintain vendor trackers and manage access to company, client, and vendor systems.
• Process local payments.
• Support project management with ad-hoc activities, reports, and study plan revisions.
• Coordinate team conference calls and distribute meeting minutes.
• Stay informed about GCPs, SOPs, and protocol-specific requirements.
• Implement project plans and adhere to project timelines.
• Act as a resource for the project team.
• Assist with audit-ready files and responses to regulatory audits.
• Train junior staff and aid leadership in identifying training needs.
• High/Secondary school diploma or equivalent, along with relevant formal academic or vocational qualifications.
• Certificates may be required for technical positions.
• A minimum of 4 years of comparable previous experience.
• Strong oral and written communication skills, along with interpersonal abilities.
• Ability to work effectively in a team or independently.
• Excellent organizational skills and a keen attention to detail.
• Capability to manage multiple tasks efficiently and effectively.
• Proficiency in analyzing project-specific data and systems.
• Strong customer service orientation.
• Flexibility to adjust priorities in response to workload changes.
• Familiarity with applicable regulations and procedural documents.
• Solid command of the English language and grammar.
• Good presentation skills.
• Proficient in Microsoft Office Suite.
• Ability to learn new database systems and modern technologies.
