This is a fully remote position, open to applicants in Latin America.
• Serve as the operational right hand to the CEO and the executive team, overseeing priorities, follow-ups, and executive administration.
• Organize and facilitate executive and cross-functional meetings, including the preparation of agendas, materials, notes, action items, and follow-up actions.
• Monitor commitments made by the leadership team and ensure nothing is overlooked.
• Handle confidential information with discretion and sound judgment.
• Oversee projects and task pipelines using Monday.com, including managing boards, timelines, ownership, dependencies, and status updates.
• Coordinate deliverables among Sales, Marketing, and executive administration.
• Convert executive directives into actionable plans, sequence tasks, and drive completion.
• Proactively report on progress, risks, and potential bottlenecks.
• Assist the sales team with pipeline follow-ups, CRM maintenance, and reporting.
• Support marketing initiatives through coordination, scheduling, asset tracking, and campaign follow-up.
• Aid in client- and customer-facing projects, ensuring alignment among internal stakeholders regarding timing and next steps.
• Act as the link between leadership and the rest of the organization.
• Identify process inefficiencies and suggest enhancements for improved workflows.
• Work independently without requiring detailed instructions.
• Minimum of 3 years of experience as an Executive Assistant supporting C-level or senior executives.
• Proven experience in project or task management beyond administrative support, including tracking deliverables, coordinating across teams, and meeting deadlines.
• Practical experience with a project management platform; Monday.com is strongly preferred, but deep operational experience with Asana, ClickUp, Trello, or similar tools is acceptable.
• Proficient in English at C1 level or higher.
• Confident in communicating directly with senior U.S. leadership.
• Excellent written communication skills, including the ability to produce clear meeting notes, follow-ups, and status updates.
• Capable of working autonomously, prioritizing competing demands, and resolving problems without immediate escalation.
• Experience with HubSpot or another CRM in an operational or business support capacity is a significant advantage.
• Familiarity with sales and marketing environments is highly desirable.
• Experience supporting a U.S.-based company remotely is a strong plus.
