This is a fully remote position, open to applicants in Georgia.
• Manage the founder’s inbox and calendar by triaging incoming requests and addressing or directing them as necessary.
• Serve as a vital link between two businesses by grasping ownership, coordinating personnel, and efficiently routing tasks.
• Monitor requests, commitments, and action items until their resolution.
• Prepare for decisions and meetings by providing concise information, recommendations, and clearly delineated options.
• Develop and maintain systems utilizing Notion, standard operating procedures (SOPs), Google Drive, recurring calendars, and checklists.
• Supervise ongoing administrative and business-critical functions, including compliance deadlines, benefits, trademarks, expenses, subscriptions, travel, and other operational matters.
• Assist with cross-functional and special projects by coordinating efforts among employees, contractors, and external experts.
• Understand the founder’s working style and businesses sufficiently to anticipate needs and manage issues autonomously.
• Ensure continuity and act as a trusted long-term partner to the founder across two expanding businesses.
• Relevant experience as a Senior Executive Assistant, Executive Business Partner, Chief of Staff/EA hybrid, or a similar high-responsibility role in executive support (not a low-level virtual assistant).
• Exceptional judgment and the ability to determine which matters can be resolved independently, delegated, or escalated to the executive.
• Confidence in making decisions based on available information and maintaining progress in work.
• Comfort in navigating ambiguity and constructing solutions from unclear or incomplete requests.
• Strong attention to detail is essential.
• Ability to manage lateral team members and follow up with the broader team.
• Self-driven, highly independent, and comfortable working autonomously without frequent oversight.
• Emotional resilience and steadiness; capable of receiving direct feedback, handling pressure and interpersonal complexities, while remaining calm and focused on solutions.
• Solid familiarity with various platforms, technologies, and AI tools.
• Proficiency in Spanish or a willingness to learn Spanish is a plus.
• A background in startups is an added advantage.
• 30 days of paid leave (including public holidays).
• Fully remote position.
• Full-time primary role.
• Work remotely as an independent contractor.
• Working hours of approximately 6am–2pm New York time (midday–8pm in Eastern Europe/South Africa).
