This is a fully remote position, open to applicants in United States.
• Provide support to the CEO and CFO by managing calendars, scheduling meetings, arranging travel, handling communications, preparing materials, following up, and overseeing daily executive operations.
• Oversee and prioritize executive email and Slack communications.
• Compose and distribute standard executive communications.
• Facilitate internal and external meetings with employees, customers, partners, investors, and stakeholders.
• Identify and address scheduling conflicts, safeguard focused time, and create buffers between meetings.
• Organize travel arrangements, itineraries, reservations, and logistics.
• Administer recurring executive routines and handle confidential information.
• Take ownership of the annual ELT meeting calendar.
• Coordinate logistics for in-person ELT meetings, including travel, meeting spaces, catering, dinners, reservations, and on-site requirements.
• Ensure meetings are equipped with relevant agendas, materials, participants, and context.
• Structure agendas, pre-reads, meeting documentation, and supporting resources.
• Utilize AI-powered meeting and productivity tools to record notes, decisions, context, and action items.
• Document and maintain easily accessible meeting outputs and executive reference materials.
• Highlight follow-ups and reminders that require executive attention.
• Develop AI-driven workflows, templates, and simple automations for executive tasks.
• Connect information across meetings, communications, documents, calendars, emails, project systems, and other sources.
• Enhance executive productivity by minimizing time spent searching, copying, summarizing, and switching contexts.
• Coordinate leadership, board, investor, company, and other executive engagements.
• Monitor requests to the executive office and uphold regular executive rhythms.
• Foster cross-organizational relationships for effective executive coordination.
• Proven experience supporting senior executives in a dynamic organization.
• Outstanding organizational skills and keen attention to detail.
• Superior written and verbal communication abilities.
• Strong judgment and discretion in handling sensitive matters.
• Capability to manage competing priorities and adapt to frequent changes.
• Proactive in anticipating needs.
• Comfortable interacting professionally with employees, customers, partners, investors, and senior leaders.
• Passion for creating systems and enhancing workflows.
• Quick learner of new technologies and adept at becoming a power user.
