This is a fully remote position, open to applicants in Alaska, +1 more state.
β’ Deliver high-level executive coordination and administrative assistance to 2-4 Market Leaders.
β’ Oversee intricate calendar management and scheduling for Market Leaders.
β’ Arrange meetings with donors, board members, corporate partners, CEOs, volunteers, staff, and Executive Assistants.
β’ Address scheduling conflicts and ensure accurate meeting and event calendars.
β’ Create agendas, briefing materials, meeting packets, presentations, and background resources.
β’ Organize leadership meeting logistics, document decisions, distribute action items, and arrange follow-up.
β’ Manage board recruitment, applications, onboarding, orientations, meetings, speakers, content, invitations, RSVPs, attendance, quorum tracking, and communications.
β’ Keep board engagement information and prepare materials for board meetings.
β’ Assist CEOs Against Cancer chapters with meeting, event, networking, recruitment, onboarding, communications, and member-experience coordination.
β’ Facilitate donor cultivation, stewardship, and solicitation meetings while tracking commitments and next steps.
β’ Collaborate with Executive Support, Senior Coordinators, and Centralized Support Services to ensure consistent support, share best practices, balance workloads, and provide backup coverage.
β’ Identify opportunities for process improvements, maintain accurate records, and enhance executive support services and stakeholder experiences.
β’ Bachelor's degree preferred or a combination of education and relevant work experience.
β’ 3-5 years of experience in supporting executives/senior leaders, complex administrative coordination, board support, or similar roles.
β’ Outstanding organizational skills, attention to detail, follow-through, and time management abilities.
β’ Capability to anticipate needs, exercise sound judgment, maintain discretion, and manage confidential or sensitive information appropriately.
β’ Excellent written, verbal, listening, and interpersonal communication skills with a professional, customer-oriented approach.
β’ Ability to cultivate productive relationships and communicate effectively with senior leaders, staff, board members, volunteers, donors, CEOs, Executive Assistants, and external partners.
β’ Ability to juggle multiple complex priorities, adapt to changing needs, resolve conflicts, and meet deadlines in a fast-paced environment.
β’ Strong skills in meeting coordination, project organization, note-taking, action-item tracking, and follow-up.
β’ Proficiency in preparing accurate, polished agendas, briefing materials, meeting packets, presentations, communications, and records.
β’ Proficient in Salesforce data entry and Microsoft Office and Microsoft 365 applications, including Outlook, Teams, Word, Excel, PowerPoint, and SharePoint.
β’ Ability to learn proprietary systems and adapt to evolving workflows.
β’ Capability to support continuous improvement through feedback, documentation, process refinement, and consistent service delivery.
