This is a fully remote position, open to applicants in United States.
• Take ownership of the enterprise regulatory calendar, encompassing filing deadlines, license renewals, committee schedules, exam dates, and training obligations.
• Manage an advance-notice cycle and escalate any items at risk of delay before they become overdue.
• Act as the primary internal liaison for TPA licensing and Secretary of State vendors.
• Gather necessary documentation, monitor filings through approval processes, and address deficiency notices.
• Keep an independent state-by-state record of license statuses, numbers, expiration dates, and fees.
• Oversee designated responsible person/producer assignments and ensure vendors meet deadlines and service standards.
• Provide lifecycle support for the Compliance Committee and its sub-committees, including scheduling, agendas, materials, minutes, and decision logs.
• Maintain committee charters, rosters, and work plans.
• Prepare executive reporting packages for the Board Audit Committee.
• Prepare and submit regulatory filings owned by Compliance.
• Maintain consistent filing playbooks and reconcile submitted filings against those required.
• Operate the centralized Compliance intake queue by logging, triaging, routing, and tracking items to completion.
• Assist with incident management, including PHI incidents, alongside Privacy and Information Security.
• Generate intake and incident reports detailing volume, aging, closure rates, and emerging themes.
• Support regulatory change management by documenting alerts and rule changes, routing impact assessments, and tracking implementation tasks.
• Coordinate external regulatory audits and market conduct examinations.
• Manage document requests, evidence collection, response tracking, and remediation until closure.
• Ensure audit-ready documentation is maintained across all functions.
• A minimum of 5 years of experience in compliance, regulatory operations, insurance licensing, legal operations, or a similar administrative and operational position within a regulated industry.
• Proven experience managing deadline-driven regulatory processes with external repercussions for missed deadlines.
• Strong judgment in handling confidential and sensitive information.
• Over 5 years of hands-on experience with entity licensing, state registrations, or analogous regulatory processes.
• More than 5 years of experience collaborating with outsourced service providers or similar independent internal or external entities.
• At least 5 years of experience supporting formal governance or committee activities, including agenda preparation, minute-taking, and action item tracking.
• Over 5 years of strong document and records management skills, including version control and audit-ready writing.
• More than 2 years of advanced proficiency with Microsoft 365 and/or Google Workspace.
• Ability to create effective trackers and clear reporting formats.
• Experience in health insurance, third-party administration, ICHRA, or health benefits administration.
• Familiarity with HIPAA Privacy and Security, ACA, and ERISA as they relate to benefits administration.
• Experience with governance, risk, and compliance platforms, contract lifecycle management tools, or e-signature workflows.
• Background in supporting market conduct examinations, SOC audits, or comparable third-party assessments.
• Relevant certifications such as CCEP, CHC, CIPP/US, or an insurance licensing designation.
